Customizable Signature Roles and Event-Specific Requirements
- What – The Medications module now allows agencies to configure Custom Signature Roles and Event-Specific Signature Requirements, replacing the previous master signature setting and generic USER1–USER4 labels. Administrators can create meaningful signer titles, such as Administering Provider, Documenting Provider, or Witness, and establish required or optional signatures for individual medication events. Signature policies can be tailored by event type, inventory context, and substance classification, including Med Kits, Med Supply, Whole Blood Kits, and controlled versus non-controlled substances. Each event can support up to four signer roles, with configurable validation methods and signer eligibility.
- Why – Previously, a single master signature setting applied uniformly across medication activities, making it difficult to distinguish signer responsibilities or establish different levels of oversight. These enhancements give agencies greater control over medication documentation, improve audit transparency, and help align signature requirements with applicable DEA regulations and internal compliance policies. Agencies can reduce unnecessary signatures for routine activities while maintaining appropriate verification for higher-risk events.
-
How -
- Navigate to Medications → Setup → Signature to manage signature configurations.
- Select the applicable Event Type, Inventory Context, and Substance Type.
- Configure up to four Signer Roles, assigning custom titles that identify each individual's responsibility.
- Restrict signature abilities by user Rank or Qualifier.
- Designate signer roles as Required or Optional based on the event's documentation needs.
- Select the appropriate Validation Method, including Signature Only, Signature + PIN, or Account Validation Only.
- Configure Signer Eligibility and applicable signature reuse or fresh-capture requirements.
- Save the configuration to automatically apply the appropriate signature requirements when the medication event occurs.
Important Note:
Existing master signature settings are automatically migrated to preserve current configurations. System-enforced compliance minimums cannot be reduced through customization.
- Use Case – An agency may configure a Controlled Substance Usage event to require signatures from both an Administering Provider and a Witness, while a routine Non-Controlled Medication Usage event may require only the Administering Provider. Similarly, medication kit counts, supply transactions, and custody activities can have different signature requirements based on the responsibilities involved. This flexibility allows agencies to establish clear accountability for each medication event while maintaining documentation appropriate for compliance reviews and audits.
User Role Configuration
All existing user role titles are automatically migrated to the new configuration, allowing agencies to edit or remove previously established roles as needed. Changes to existing role titles, including the default USER1–USER4 labels, do not affect historical Med Log records. Any modifications or newly created roles apply only to medication events moving forward, preserving the accuracy and integrity of previously recorded signatures and audit history.
Medication Event Specific Requirements
Agencies can configure Custom User Role Titles and signature requirements for individual medication events, with additional flexibility to differentiate requirements between Med Kits and Med Supply, as well as Controlled and Non-Controlled Substances. Whole Blood signature configurations are supported specifically for Usage, Count, Receive, and Return events. Each configured role is associated with its corresponding medication event, ensuring signatures accurately reflect the responsibilities of each participant. When completing a Multi-Action medication workflow, the system consolidates signature requirements across the selected events, allowing users to complete the necessary signatures while maintaining each signature's association with its specific event and role for accurate Med Log documentation and audit reporting.
Feature Enhancements
Dedicated Signature Roles for Custody Exchange
- What – Custody Exchange events now automatically use two dedicated, required signature roles: Transferring Provider and Receiving Provider. These roles replace the generic master signature labels previously assigned to custody exchanges. The same signature roles and data are used for Override Exchange events, while Retain continues to use its existing single Retaining Provider signature workflow.
- Why – Clearly identifying the individuals transferring and receiving medication improves accountability and creates a more meaningful record of medication custody. This enhancement eliminates ambiguity associated with generic signature labels and strengthens documentation for controlled substance tracking and audit reviews.
-
How –
- Open Medication Setup v3 and locate the Custody Exchange signature configuration.
- Verify that Transferring Provider and Receiving Provider are configured as the two required signer roles.
- When performing a Custody Exchange, complete the Transferring Provider signature followed by the Receiving Provider signature.
- Override Exchange uses the same two signer roles and signature data.
Important Note:
These dedicated roles are automatically available for new and migrated agencies. Retain remains unchanged and continues to require one Retaining Provider signature.
- Use Case – During a shift change involving controlled medications, the outgoing provider signs as the Transferring Provider, and the incoming provider signs as the Receiving Provider. Both signatures are associated with the custody exchange, providing a clear record of who relinquished and accepted responsibility for the medications. This helps agencies maintain consistent custody documentation and supports accountability during audits.
Signature Setup
User Signature Workflow
Enhanced Signature Capture in Multi-Action Workflows
- What – The Medications module introduces an updated Signature Modal designed to improve signer identification, signature capture, and documentation across medication events. The redesigned interface displays each signer's Role in Event, provides a validated user selection, and allows users to automatically populate signatures stored in the Personnel module. Selected personnel information, including name, email, and state licensure ID, is displayed for verification. The modal also supports User from Outside Agency signers. For Multi-Action workflows, signature requirements are organized by medication action, with progress indicators and support for signature reuse when permitted by the configured policies.
- Why – These improvements simplify signature collection while maintaining accurate identification and traceability for each participant. Clearly displaying signer roles and personnel information reduces documentation ambiguity, while stored signature retrieval and permitted signature reuse minimize repetitive steps. Support for outside agency personnel also helps ensure medication events involving external providers can be documented consistently.
-
How –
- When completing a medication event requiring a signature, open the Signature Modal.
- Review the Role in Event and select the appropriate signer from the User dropdown.
- Verify the selected individual's Name, Email, and State Licensure ID in the information banner.
- Select Fill to populate the signature field using the individual's stored signature from the Personnel module.
- For an external signer, select User from Outside Agency and complete the required Name, ID Type, License/ID Number, and Agency fields.
- Select Save to record the signature and signer information with the medication event.
- During Multi-Action workflows, review the signature requirements grouped by action and complete any outstanding signatures.
Important Note:
Signatures may be reused across actions only when the applicable policies permit reuse and signer eligibility requirements are satisfied. All required signatures must be completed before the workflow can be finalized.
Selecting Cancel closes the signature window without saving signer information or a signature.
- Use Case – During a medication workflow involving a controlled substance count and custody exchange, the system identifies the required signatures for each action and presents the appropriate signer roles. Personnel can select their user accounts, verify their identifying information, and retrieve stored signatures to complete documentation efficiently. If the same individual must sign for multiple actions, an existing signature may be reused when permitted, reducing duplicate effort. When an outside agency provider participates in an event, their identifying information and signature can also be recorded. Each action maintains its own signature attribution and audit information, providing a clear record of medication activity.
Expanded Medication Library – Three New Medications
- What – The Medications module library has been expanded to include three additional medications: Salbutamol, Dimenhydrinate (Gravol), and Tenecteplace. These additions allow agencies to select and configure these medications within their medication inventory for tracking and documentation.
- Why – As agencies expand their medication protocols and treatment capabilities, additional medications must be available within the system to support accurate inventory management and medication event documentation. Expanding the medication library helps ensure agencies can properly track and record medication activities without limitations caused by missing medication entries.
-
How –
- Navigate to Medications > Setup > Medications.
- Select Add Medication.
- In the Medication Name dropdown, search for and select one of the newly available medications:
- Salbutamol (RXCUI: 435B)
- Dimenhydrinate (Gravol) (RXCUI: 2594773)
- Tenecteplace (RXCUI: 259280)
- Continue the medication setup process using the agency's existing configuration workflow.
- Use Case – An agency introducing Tenecteplace into its treatment protocols can now select the medication directly from the existing library and add it to its medication inventory. Similarly, agencies using Salbutamol or Dimenhydrinate (Gravol) can configure these medications for inventory tracking and medication event documentation, helping maintain accurate medication records and supporting consistent operational workflows.
Modernized Medications Setup Interface
