Purpose Statement
The print-friendly PDF option allows users to select hydrants from the Hydrant List and create a formatted document that can be saved or printed.
Users can choose which hydrant records and columns appear in the document and adjust the page orientation, margins, and paper size before saving the PDF.
Background Information
The Hydrant List provides a centralized view of hydrant records within the Hydrants module. When hydrant information needs to be reviewed offline, shared with another department, included in operational documentation, or printed for field use, users can create a print-friendly PDF directly from the list.
The PDF includes up to seven columns from the selected Hydrant List view. When the list contains more than seven columns, users must choose which seven columns to include before continuing.
Users may create a PDF for a single hydrant or select multiple hydrants for inclusion in the same document.
Required Permissions
Users must have access to the following areas:
- Hydrants module
- Hydrant List
- Hydrant records included in the PDF
No hydrant editing permission is used during this workflow. Contact your First Due administrator when the Hydrants module or Hydrant List is not available in the module stack.

Step-by-Step Guide
1. Open the Hydrant List
- From the First Due module stack, select Hydrants.
- Select Hydrant List.
- Open or configure the list view containing the hydrant information you want to print.
2. Select the Hydrants
- Locate the hydrant records you want to include.
- Select one hydrant for a single-record PDF, or select multiple hydrants for a combined PDF.
- Confirm that each required hydrant is selected.
After selecting one or more hydrants, the More Options ellipsis appears.
3. Open the Print Option
- Select the More Options ellipsis.
- Select Print.
4. Choose the PDF Columns
The PDF can contain a maximum of seven columns.
- Review the selected columns.
- When the current list view contains more than seven columns, deselect any columns that should not appear in the PDF.
- Select the replacement columns you want to include.
- Confirm that the column counter shows no more than 7 of 7 selected.
- Select Continue to Print or Preview.
5. Configure the PDF Layout
Review the PDF-style preview and adjust the available print settings.
- Select an orientation:
- Landscape
- Portrait
- Select a margin setting:
- Default
- Minimal
- Select the appropriate paper size.
- Review the preview to confirm that the hydrant information is displayed correctly.
6. Save or Print the PDF
- Select Save.
- Choose the PDF save option provided by the browser or operating system.
- Enter a file name and select a save location.
- Open the saved PDF to review it.
- Save, share, or print the document as needed.
Best Practices
- Filter and organize the Hydrant List before selecting records.
- Include only the columns needed for the document’s intended purpose.
- Use descriptive file names that include the area, hydrant group, or creation date.
- Use Landscape orientation when the selected columns contain wider values.
- Use Portrait orientation when the PDF contains fewer or narrower columns.
- Review the preview before saving to confirm that column headings and values are readable.
- Confirm that all required hydrants are selected before opening the print option.
- Avoid including unnecessary or sensitive hydrant information when sharing the PDF outside the department.
- Store operational PDFs according to department record-retention and document-management procedures.

Why is the Print option not displayed?
The Print option becomes available after one or more hydrant records are selected. Select the checkbox for each hydrant you want to include, and then open the More Options ellipsis.
Why can I select only seven columns?
The print-friendly PDF supports a maximum of seven columns. Deselect an existing column before selecting a different one.
Can I print only one hydrant?
Yes. Select a single hydrant from the Hydrant List, open the More Options ellipsis, and select Print.
Can I include multiple hydrants in one PDF?
Yes. Select each hydrant you want to include before opening the print option.
Why is a column missing from the PDF?
Confirm that the column was selected on the column-selection screen. When the list view contains more than seven columns, only the seven selected columns appear in the PDF.
What should I do when the PDF content is cut off?
Change the orientation to Landscape, select Minimal margins, choose a larger paper size, or replace wide columns with narrower ones.
Why can’t I access the Hydrants module or Hydrant List?
Your user account may not have access to the required module or records. Contact your First Due administrator to review your assigned access.
Can I change the hydrant information from the print preview?
No. Return to the Hydrant List to update the records or adjust the list view, and then create the PDF again.
Can I save the document without physically printing it?
Yes. Select the PDF save option in the print window and choose a location on your device.
