Purpose Statement
The Apparatus Booking feature in the Training Module helps class creators schedule apparatus more effectively by assigning individual time slots to each unit within a training. This improves operational awareness by providing immediate visibility into conflicts with already scheduled Training or Activities in the Events Module.
This feature is intended to support better planning, maintain apparatus coverage, and help users make informed scheduling decisions without interrupting training setup.
Background Information
Apparatus Booking allows users to assign one or more apparatus to a training and define independent start and end times for each unit. This is helpful when a class spans a full day, but apparatus only need to attend for part of the time.
Conflict detection includes:
- Other Trainings
- Activities scheduled in the Events Module
This feature does not prevent a user from booking an apparatus when a conflict exists. Instead, it provides a warning so class creators can review the overlap and determine whether adjustments are needed.
Within the Training class, apparatus management has been moved below the Self-Complete toggle.
Required Permissions
Users should have permission to create or edit Training in order to add and manage apparatus bookings.
Users may also need access to view related records in the Events Module if they are expected to review conflict details across modules.
Confirm the exact permission names in your agency’s First Due role settings before publishing, as permission structures may vary by configuration.

Step-by-Step Guide
- Locate the Apparatus section
Scroll below the Self-Complete toggle to find the apparatus management area. - Select Add
Click Add to begin scheduling apparatus for the class.
- Choose the primary apparatus
Select the apparatus you want to schedule for this training class. - Enable Secondary if needed
Turn on the Secondary toggle to include a covering apparatus while the primary apparatus is attending the class. Enter apparatus-specific start and end times
Add an independent Start Time and End Time for the apparatus. These times can differ from the overall class start and end times.Example: A training may run from 8:00 AM to 5:00 PM, but an apparatus may only be scheduled from 10:00 AM to 12:00 PM.
- Review the Booked Units Count
If the selected apparatus is already scheduled for another Training class or an Event during the same time frame, the Booked Units Count will display a number. - View conflict details
Select View More to open the conflict modal. The modal displays:- The name of the conflicting Training or Event
- The start time of the conflict
- The end time of the conflict
- Decide whether to continue
Conflict warnings do not require changes. Class creators can continue scheduling the apparatus as entered if the conflict is acceptable.
- Add a covering apparatus
If the Secondary toggle is enabled, select the plus icon to the right of the apparatus entry. - Assign the covering apparatus and station
Select the apparatus that will cover the primary unit, then choose the station it will cover. - Review conflict warnings for the covering apparatus
Covering apparatus follow the same booking rules. If that unit is already booked in another Training class or Event, the conflict will also appear in the Booked Units Count field.
- Apply the same process for multi-session classes
If the agency is using the Multi-Session toggle, apparatus booking rules apply on a per-session basis.
- Monitor conflicts from the Training Classes list
Classes with apparatus conflicts will show the associated apparatus field as a red number in the Training Classes list.
Best Practices
- Use apparatus-specific time slots instead of assigning units for the full class duration when they are only needed for part of the day.
- Review the Booked Units Count before saving or publishing a class to identify potential operational impacts.
- Use the Secondary toggle when station or response coverage is needed while a primary apparatus is committed to training.
- Review conflict details using View More so scheduling decisions are made with full visibility.
- Coordinate with supervisors or operations staff when booking apparatus that show known scheduling conflicts.
- Continue completing all other class fields as normal, as this feature only changes how apparatus scheduling is managed and displayed.
Troubleshooting & FAQs
Why is there a number in the Booked Units Count field?
A number appears when the selected apparatus is already booked during the same time frame in either the Training Module or the Events Module.
Does a conflict prevent me from saving the class?
No. The conflict is a warning only and does not block the class creator from saving or continuing.
What does View More show?
It opens a modal that displays the name of the conflicting Training class or Event, along with its start and end time.
Can I assign different time slots to different apparatus in the same class?
Yes. Each apparatus can have its own independent start and end time.
Can I add a covering apparatus for a primary unit?
Yes. Enable the Secondary toggle, then use the plus icon to add a covering apparatus and assign the station it will cover.
Do covering apparatus follow the same conflict rules?
Yes. Covering apparatus will also display conflicts in the Booked Units Count field if they are already scheduled elsewhere.
How does this work with multi-session classes?
If the Multi-Session toggle is enabled, apparatus booking rules and conflict visibility apply separately to each session.
How are conflicts shown in the Training Classes list?
When a class has apparatus conflicts, the related apparatus field appears as a red number in the class list.
