Purpose Statement
The Attendee Management area allows class creators to add and manage instructors and students for a training class, track individual progress, and ensure accurate completion and reporting. Proper attendee management ensures students receive correct credit and instructors’ time is tracked separately for administrative and compliance purposes.
Background Information
Attendee Management is a core part of the Training Module and is where class creators:
Assign instructors (internal or external)
Build and manage the class roster
Track Course completion, time, scores, and standards
Complete Courses individually or in bulk
This area supports both internal users and non-user attendees, making it ideal for agency-hosted training that includes outside participants.
Required Permissions
The following permissions are commonly required:
Manage Training Classes – Required to add instructors, attendees, and manage progress
View System Users – Required to add internal users as attendees or instructors
Scheduling Module Access (optional) – Required for schedule-based filtering options
Admin Module Configuration – Required for filters based on agency setup (rank, unit, station, etc.)

Step-by-Step Guide
Add and Manage Instructors
Navigate to the Attendee Management section of the class.
Select Add Instructor
Select "Add Instructor Type." - Selecting an instructor type will populate the list of available instructors to choose from
Choose an instructor from the list:
Instructors with the selected type will populate the list
Select All System Users to choose from all users in the account
Select Add New under External Instructor to create a new external instructor
Newly created external instructors are saved for future use
Enter a Duration, if applicable.
This time tracks instructor prep or administrative time separately in reports.
Choose whether to Include the instructor as an attendee.
If you include instructor as an attendee, press save to ensure they populate in the attendee list below
Add Internal Attendees
Select Add Internal Attendees.
A modal opens allowing you to filter users by available criteria.
Filtering options may include:
Schedule Date, Group, Qualifier (Scheduling Module dependent)
Shift, Station, Rank, Unit (based on Admin Module setup)
Select Apply after selecting filtering options
After filtering:
Select Include All to add all results
Or select individual users
Select Save to add attendees.
Add Non-User Attendees
Select Add Non-User Attendee.
Available only if the training is not self-complete.
Enter the required attendee information.
Select Save.
This option is commonly used for:
Hosted classes with outside agencies
Non-system users attending in-person training
Manage Individual Attendee Progress
Select the pencil icon next to a student’s name.
A modal opens displaying all assigned objectives.
Manage objectives by:
Selecting Pass All or Fail All
Passing or failing objectives individually
Remove individual standards by selecting the X next to a standard.
Useful when multiple standards exist but only one applies.
Add Instructor Comments as needed.
Comments may be required when failing an objective.
Adjust Objective Time and Scores
Select the pencil icon in the Hours section to adjust time spent.
Useful when a student attends only part of a course.
Enter a Score if the course includes a scoring component.
If a scored objective was created, this field will turn white allowing a score to be inputted
Select Save when finished.
Bulk Complete Courses
Select one or more students using the checkbox on the left.
Select the double checkmark (Bulk Complete) icon.
In the modal:
Select specific objectives or choose Select All
Select Pass Courses.
Completed/Passed Courses turn green, indicating success.
Note:
Bulk completion is not available for Courses with scoring requirements. Those must be managed individually.
Best Practices
Include instructors as attendees only when they should receive training credit.
Use bulk completion to save time for large classes without scored objectives.
Adjust course time per student to maintain accurate reporting.
Add comments when failing courses to support documentation and follow-up.
Use non-user attendees only for external participants.
Troubleshooting & FAQs
Why can’t I add a non-user attendee?
Non-user attendees are not allowed when objectives are marked as self-complete.
Why don’t I see certain filtering options when adding attendees?
Some filters require the Scheduling Module or specific Admin Module configuration.
Why is bulk complete unavailable?
Courses with scoring components must be completed individually.
Does instructor duration affect student credit?
No. Instructor duration is tracked separately for reporting purposes.
