Purpose Statement
Saved Views allow users to customize how lists are displayed by showing only the columns, filters, and records most relevant to their role. By removing unused columns and applying predefined criteria, saved views create a cleaner, more efficient user experience and reduce the time spent searching for important information.
Background Information
Saved Views are available throughout list-based areas of First Due, including the Scheduled Training List. They enable users to control:
Which columns are visible
Which filters are available when the view is selected
What criteria determine which records appear
Saved Views can be personal or shared with others and may be set as a default view when navigating to a list. This is especially useful for training officers, administrators, and supervisors who regularly monitor specific class statuses or datasets.
Prerequisites:
Access to a list that supports Saved Views (for example, Training Classes)
Appropriate permissions to create and manage views
Required Permissions
Permissions vary by module, but typically include:
View Training Classes – Required to access lists where views can be created
Manage Training Classes or Configure Views – Required to create, edit, and share saved views
Users without create permissions may still use views that have been shared with them.

Step-by-Step Guide
Start a New Saved View
Navigate to a list that supports saved views (for example, Training → Classes).
At the top of the page, select the three-dot menu.
Select Add View.
Name the View and Select Columns
On the left side of the page, enter a View Name.
Select the columns you want included in the view.
Select the right arrow to move selected columns into the Selected Columns list.
Removing unused columns helps create a cleaner layout.
Columns in the Selected Column section can be re-ordered so that priority data will be on the left side of the view
Configure Available Filters
On the right side of the page, select which fields should be available as filters when using this view.
Add fields you want users to filter by (for example, Attendee Name).
If no fields are added, filter options will not appear when the view is selected.
Define Criteria (Optional)
Under the Criteria section, choose the conditions that determine which records appear.
Criteria are optional if the goal is only to reduce visible columns.
To filter records:
Select a Field (for example, Status)
Select an Operator (for example, Equal To)
Select a Value (for example, In Progress)Your Field selection will determine what operators are available and what populates in the Value area.

Add Multiple Criteria
Select Add Criteria to include additional conditions.
Choose the relationship between criteria:
And – All conditions must be true
Or – Any condition may be true for records to appear
Set Sharing and Pagination
Choose the sharing settings for the view (personal or shared, depending on permissions).
Set the default pagination, which controls how many records display by default.
Save and Use the View
Select Save to create the view.
The view appears under Custom Views in the dropdown at the top left of the page.
Hover over the view name and select the star icon to set it as the default view when navigating to the list.
Best Practices
Create separate views for common workflows (for example, In Progress Classes, Pending Approval).
Limit columns to only what is needed to improve readability.
Add filter fields thoughtfully so users can refine results without clutter.
Use clear, descriptive view names when sharing with others.
Set a default view to streamline daily workflows.

Why don’t I see filter options when using my saved view?
No fields were added to the filter configuration section during setup.
Can I create a saved view without criteria?
Yes. Criteria are optional if you only want to customize visible columns.
Why can’t I share a saved view?
Your role may not include permissions to share or manage views.
Can I change my default view later?
Yes. Hover over any saved view and select or remove the star icon.
