Purpose Statement
Assigning a Template allows administrators to assign a template to a group of users without creating a specific training activity upfront. This workflow is ideal for recurring or time-based training requirements where class dates, rosters, or completion timing are not yet known.
Background Information
The Assign Template workflow differs from creating a Scheduled Training. Instead of immediately placing users into a class roster, administrators assign a template to users and define a timeframe in which those users must be added to a roster and complete the Course(s) associated with the template.
This method is commonly used for:
Quarterly or annual required training
Compliance-driven Courses with flexible completion dates
Scenarios where attendance groups are not predetermined
Due to permission and workflow constraints, Assign Template is not recommended for courses that include a Self-Complete component or contains LMS Content.

Required Permissions
The following permissions are typically required:
View Training Templates – Required to browse available courses
Assign Templates – Required to assign course templates to users
Manage Scheduled Training – Required to later create classes using assigned courses
View Training Dashboard – Required to manage assigned users and progress

Step-by-Step Guide
Start the Assign Template Process
Navigate to Training → Scheduled Training.
Select Add from Training Templates.
Use the filter options at the top to narrow the course list.
Select the view (eye) icon to preview template details if needed.
Select Assign Template
Select the checkbox to the left of the desired course.
Two buttons become active at the bottom:
Use Template
Assign Template
Select Assign Template.
Use Template is reserved for known class rosters and immediate Training creation.
Configure Assignment Details
A modal opens displaying the available assignee list.
Enter:
Assign Date
Deadline
These dates define the timeframe in which users must be added to a class and complete their objectives.
Filter users using available options:
Schedule Date, Group, Qualifier, Unit (Scheduling Module dependent)
Shift, Station, Rank (Personnel and Admin Module configuration)
Select Include All or individually select users to move them to the Selected list.
Select Save to complete the assignment.
Access Assigned Templates
The assigned course appears on the Training Dashboard under Assigned Templates.
Depending on permissions, Use Template may be available:
Allows quick creation of a training based on the template.
Select the right arrow to access Manage Template Users.
Manage Assigned Template Users
At the top of the page, review the progress bar.
Displays how many users have completed 100% of required Courses.
Select Update Template Users to modify the assigned user list.
This actions opens the same Template Assignment Modal as during initial assignment
Manage users individually:
Select the trash can icon to remove a single user.
Select the View icon to see individual users progress towards completion
Review progress at a glance under the Course Progress column.
Deactivate an Assigned Course
Select Deactivate at the top of the page.
This removes the course from the active library.
Important:
Deactivating a course:
Does not delete the course
Prevents further use until reactivated
Use caution before deactivating active assignments.
Best Practices
Use Assign Template for recurring or compliance-based training.
Clearly define assign and deadline dates to set expectations.
Monitor progress regularly using the dashboard progress bar.
Avoid assigning self-complete courses using this workflow.
Use Deactivate sparingly to avoid interrupting active training cycles.
Troubleshooting & FAQs
Why can’t I assign a self-complete Template?
Assign Course is not supported for courses with a self-complete component due to permission and workflow constraints.
Why don’t I see the Assign Template button?
Your role may not include permissions to assign courses.
Does assigning a Template create a training class?
No. Assigning a course creates an assignment record. Classes must still be created to record completions.
What happens if I deactivate a Template?
The Template is removed from the active library but is not deleted.
