Training Setup: Standards

Purpose Statement

The Standards section within the Training Module Setup allows administrators to create, manage, and organize training standards such as ISO, NFPA, and other regulatory requirements that can be associated with specific training objectives. This feature ensures compliance tracking, standardized training delivery, and alignment with industry best practices across your Fire/EMS department's educational programs.

Standards serve as the regulatory and industry framework that governs training content and delivery within Fire/EMS operations. They represent established guidelines from organizations like the National Fire Protection Association (NFPA), International Organization for Standardization (ISO), and other accrediting bodies that define minimum requirements and best practices for emergency services training. By associating standards with training objectives, departments can demonstrate compliance, track adherence to regulations, and ensure their training programs meet industry benchmarks. The system supports detailed standard information including set identification, code numbers, titles, descriptions, and hierarchical organization through chapters and sections.


Required Permissions

These permissions are located in the Admin Section of Training Permissions:
  1. Manage Standards--Allows User to access the Standards section of Training Setup.

Step-by-Step Guide

Searching & Filtering Standards

1.  Navigate to Training > Setup > Standards.




2.  Use the Search bar at the top to filter results and click the down caret to display or hide additional filter options.




3.  Use the Show Columns dropdown to customize visible fields.




4.  Click any column header to sort in ascending or descending order as well as rearrange columns by dragging and dropping their headers.





Adding a Standard

1.  Click Add Standard.




2.  Enter the required fields:

  1. Set
  2. Code
  3. Title




3. Complete any additional fields (Optional):

  1. Description
  2. Code Set
  3. Edition Year
  4. Chapter #
  5. Chapter Title
  6. Section #
  7. Sub Section #
  8.  Sub Section Title
  9. Code #
  10. Code Paragraph Title

4.  Select the checkbox to mark the Standard as Active.

5.  Add Tags to improve keyword-based searchability.

6.  Click Create. The new Standard will appear in the list.




Alert
The fields shown below are not used within the standards section and should be ignored.





 Bulk Importing Standards

1.  Click Import Standards.




2.  Download the sample spreadsheet template.




3.  Populate the spreadsheet with available fields:

  1. Set, Code, Title, and Description

4.  Upload the file via the Choose File option and click Import.





Editing, Activating & Deactivating Standards

Edit Individual Standard:

  1. Click the Pencil icon, Confirm the option to edit and then modify details as needed and/or click the Active checkbox to activate/deactivate the Standard.


Warning
If the Standard has already been used within a training class, the System will warn the user that any changes made to the Standard will be retroactively applied to a specific number of classes that used the Standard previously. To avoid changing the Standard for those classes already completed or in process, clone the Standard, which will archive the original Standard and create a copy that can be edited and used going forward.


Bulk Activate/Deactivate a Standard:

  1. Select one or more checkboxes, then Click Bulk Actions, then Choose “Is Active” > Yes/No and confirm the change.





Deleting a Standard

  • Click the Trash Can icon to delete an individual Standard.



Warning
Standards can only be deleted if they are not associated with any training classes or objectives. Once used, Standards cannot be deleted—only deactivated.

Do's

  • Include complete standard information including set, code, and descriptive titles
  • Use consistent naming conventions that align with official standard documentation
  • Add relevant tags to improve searchability when associating with objectives
  • Regularly update standards to reflect current versions and amendments
  • Use bulk import for efficient setup of multiple related standards
  • Maintain active/inactive status rather than deleting when possible
  • Include chapter and section information for detailed standard organization

  • Don't create incomplete standard entries missing required fields
  • Don't delete standards that have been associated with training classes
  • Don't use unofficial or abbreviated standard references

Q: Why can't I delete a specific standard?
A: Standards that have been associated with training classes cannot be deleted. Use bulk actions to deactivate them instead, preserving historical training data.

Q: What fields are available during bulk import?
A: Only Set, Code, Title, and Description fields are available when bulk importing. All other details must be added individually after import.

Q: How do I organize complex standards with multiple sections?
A: Use the hierarchical fields (Chapter Number, Chapter Title, Section Number, Subsection Number, etc.) to create detailed organization that matches the official standard structure.
