Training Setup: Topics

Purpose Statement

The Topics section within the Training Module Setup allows administrators to create, manage, and organize training topics that can be associated with categories and learning objectives. This feature enables systematic organization of training content, making it easier to structure educational programs and track learning outcomes across your department.

Topics serve as foundational elements in the training module hierarchy, working alongside categories and objectives to create a comprehensive training structure. They represent specific subject areas or themes that training classes can be built around. Topics are essential for organizing training content logically and ensuring consistent educational delivery across your Fire/EMS department. This feature supports both individual topic creation and bulk importing for efficient setup of large training programs.


Required Permissions

These permissions are located in the Admin Section of Training Permissions:
  1. Manage Topics--Allows User to access the Topics section of Training Setup.

Step-by-Step Guide

Accessing the Topics Section


1. Navigate to Training > Setup > Topics.




2. Use the Search Area at the top to filter the list by keyword or status.




3. Click any column header to sort topics in ascending or descending order.



Adding a New Topic

1. Click the Add Topic button.



2. Enter the Topic Name.

3. Select one or more Categories to associate with this Topic.

4. Select one or more Objectives to link to the Topic.

  1. If Categories and Objectives haven’t been created yet, associations can be added later.

5. Click Create and the new Topic now appears in the list.




Bulk Importing Topics


1. Click Import Topics.



2. Download the sample spreadsheet template.



3. Enter your list of Topics in the Topic Name column of the CSV spreadsheet and then upload the completed file using the Choose File option. Select Import to upload the Topics.


Info
 Only Topic Names are included during import. Category and Objective associations must be configured manually afterward.

Deactivating a Topic

1. Click the X icon beside the Topic you want to deactivate and confirm the action when prompted. The Topic is removed from the active list.




Reactivating a Topic


1. Change the Is Active filter to No. and Select Search.



2. Locate the Topic to reactivate, select the Checkmark icon and confirm.



Editing or Deleting a Topic

1. Click the Pencil icon to edit an existing Topic.



2. Click the Trash Can icon to delete a Topic.




Bulk Deleting Topics


Warning You may only delete Topics that have never been used in a training class. Used Topics must be deactivated instead.
  1. Select checkboxes next to one or more unused Topics. and then select the Trash Can icon above the list.

Do's

  • Create descriptive topic names that clearly identify the subject matter
  • Associate topics with relevant categories and objectives when available
  • Use the bulk import feature for efficient setup of multiple topics
  • Regularly review and organize your topic structure
  • Deactivate unused topics rather than deleting them when possible

  • Don't create duplicate topics with similar names
  • Don't delete topics that have been used in training classes
  • Don't skip associating topics with categories and objectives if they're available
  • Don't use overly complex or abbreviated topic names that may confuse users

Troubleshooting & FAQs

Q: Why can't I delete a specific topic?
A: Topics that have been associated with training classes cannot be deleted. Use the deactivate function instead to remove them from active use while preserving historical data.

Q: Can I modify category and objective associations after creating a topic?
A: Yes, you can edit existing topics to add or change category and objective associations at any time using the pencil icon.

Q: What happens if I bulk import topics with the same names as existing topics?
A: The system will typically prevent duplicate topic creation. Review your existing topics before importing to avoid conflicts.

Q: Can I reactivate multiple topics at once?
 A: The interface shows individual reactivation using the check mark icon. For multiple reactivations, you'll need to repeat the process for each topic.

Q: What information is required for bulk importing?
A: Only the topic name is available when bulk importing. Categories and objectives must be associated individually after import.
