Purpose Statement

The Passdown feature in Daily Operations allows departments to create a shift-to-shift log of daily activities within the Events and Activities Module. It functions as a digital logbook that captures key events and activities, supporting continuity between shifts while also providing a quick, printable summary for review, reporting, or recordkeeping.


Background Information

Passdowns are commonly used by Fire and EMS agencies to maintain operational awareness during shift changes. In First Due, Passdowns are generated directly from the Daily Operations list view within the Events and Activities Module. Users can filter activities by date or timeframe, select eligible entries, and package them into a single PDF summary that can be signed, downloaded, or printed. This workflow supports consistent documentation and simplifies the process of reviewing daily department activity.

Common use cases include shift change briefings, command staff review, administrative documentation, and quick summaries of department activities. Before creating a Passdown, users must have access to the Events and Activities Module and ensure Daily Operations entries already exist for the desired timeframe.


Required Permissions

Users creating or viewing Passdowns must have:

  • Access to the Events and Activities Module

  • Permission to view Daily Operations

  • Permission to initiate and create Passdowns

  • Permission to view, download, and print PDFs

These permissions are typically assigned to administrators, supervisors, and designated officers responsible for shift documentation.

Step-by-Step Guide

  • Open the Events and Activities Module.

  • Select Daily Operations.

  • Confirm you are in the List View, which is the default view and the starting point for creating a Passdown.




Filter the List View

  • Apply filters to the list view before starting a Passdown.

  • Adjust the date range or timeframe to match the activities you want included.

  • Verify that only relevant entries are displayed.



Initiate the Passdown

  • Select Initiate Passdown on the right side of the screen.

  • The screen will switch to Passdown Creation Mode.

  • Eligible activities will now display checkboxes.





Select Activities

  • Select individual activities by checking their boxes.

  • Use the bulk selection checkbox to select multiple entries at once.

  • Only activities with checkboxes are eligible for inclusion in a Passdown.

  • As a reminder if you bulk select, ensure your pagination selection at the bottom of the page will include all entries



Create the Passdown Summary

  • After selecting activities, click Create Passdown Summary.

  • A modal window will open to finalize the Passdown.

Complete Passdown Details

  • Review the Package Summary, including:

    • Number of entries

    • Selected timeframe

  • Select the officer initiating the Passdown from the dropdown.

  • Capture the required signature.

  • Select Save Signature.

  • Click Confirm and Create PDF.



View or Download the Passdown

  • Once created, the Passdown date will appear in the Passdown column.

  • A PDF icon will appear in the Actions column.

  • Selecting the PDF icon opens the Passdown in a new browser tab.

  • Download or print the Passdown as needed.

  • If an activity is included in more than one Passdown:

    • The number of packages will display in the Passdown column.

    • Selecting the PDF icon opens a modal allowing you to choose which Passdown to view.





Best Practices

  • Filter the list view before initiating a Passdown to avoid missing or extra entries.

  • Include only relevant activities to keep Passdowns clear and easy to review.

  • Verify the correct officer is selected before signing.

  • Use Passdowns consistently at shift changes to maintain continuity.

  • Download or print Passdowns promptly for recordkeeping or review.


Troubleshooting & FAQs

Why don’t all activities have checkboxes?

  • Only eligible Daily Operations entries can be included in a Passdown.

I don’t see the Initiate Passdown button.

  • Confirm you are in the Daily Operations list view and that you have the required permissions.

Can an activity be included in multiple Passdowns?

  • Yes. When this occurs, the Passdown column will display the number of associated packages.

Can a Passdown be edited after the PDF is created?

  • No. Once confirmed and created, Passdowns are finalized and cannot be edited.
