Purpose Statement
Custom Information Tiles allow agencies to create and manage their own information-collection cards in First Due Community Connect and High Hazard (HH) portals.
These tiles help agencies collect information relevant to their operations without relying exclusively on the existing, preconfigured Information Tiles.
Agency administrators can customize questions, configure required fields, select icons, and control tile visibility. Information submitted through these tiles is saved directly to the associated profile without an additional approval workflow.
Background Information
Previously, Information Tiles such as Occupancy Information, Access & Utilities, HazMat, and Fire Systems were fixed and could not be customized by agencies.
Custom Information Tiles expand this functionality by allowing agencies to build additional tiles tailored to their information-collection needs.
Key capabilities include:
- Creating Information Tiles with custom names and descriptions.
- Adding questions with different answer types.
- Designating questions as required or optional.
- Enabling or requiring attachments.
- Selecting icons from a predefined library.
- Configuring visibility for Community Connect and High Hazard portals.
- Publishing tiles when they are ready for use.
- Activating or deactivating tiles without removing historical information.
- Reordering tiles and questions across the agency.
Important: Custom Information Tiles do not include request statuses, approval workflows, or notifications. Submitted information is saved directly to the associated profile.
Existing preconfigured Information Tiles remain available and are not modified by this feature.
Required Permissions
Administrators must have the appropriate permissions under Community Connect: Custom Tiles to create and manage Custom Information Tiles.
| Permission | Functionality |
|---|---|
| Create | Create new Information Tiles and publish them |
| Update | Edit tiles, manage questions, change icons, and reorder tiles |
| Delete | Delete eligible tiles and change their Active/Inactive status |
Note: Tiles can only be deleted if no records are associated with them.
Community Connect and High Hazard portal users do not require administrative Custom Tiles permissions to complete published Information Tiles.

Select the appropriate portal or portals:
- Community Connect

Important: Custom Information Tiles are not available in the Business Portal.

- Enter the question text.
- Select the appropriate answer type.
Determine whether the question should be required or optional.

- Arrange questions in the desired order by grabbing and dropping using the dots on the left side of the questions.
- Can duplicate a question.
Can delete a question.
Note: Reordering is applied at the agency level rather than separately for each portal. The Update permission is required.
Step 8: Publish the Information Tile
- Select Publish.
- Confirm that the tile has transitioned from Draft to Published.
Verify that the tile appears in the selected portal or portals when Active.
Important: Publishing is a one-way action. A published tile cannot be returned to Draft status.
Step 9: Edit an Existing Information Tile
- Select the Information Tile you want to modify.
- Review whether the tile is in Draft or Published status.
- Make changes based on its current status:
- Draft: Edit the tile configuration and existing questions.
- Published: Add new questions or archive existing questions. Previously published questions cannot be edited in place.
- Update the tile icon if necessary.
- Save your changes.
Note: Archived questions remain associated with historical records to preserve previously submitted information.
Step 10: Activate or Deactivate a Tile
- Navigate to Community Connect → Custom Tiles.
- Locate the Information Tile.
- Change its status to Active or Inactive using the available control.
Save the change, if prompted.

Drag the Tile to the desired order by dragging and dropping the Tile.
Step 11: Complete an Information Tile in the Portal
- Open the Community Connect or High Hazard portal.
- Locate the desired Information Tile card.
Select the tile to open its questions.
Complete the requested information.
Provide attachments when required.
- Select Save to submit the information.
The answers are saved directly to the associated profile without a request status or approval process.
Best Practices
- Plan questions before publishing. Existing published questions cannot be edited in place, so verify wording, answer types, and required settings before publishing.
- Use descriptive tile names. Choose names that clearly communicate what information users should provide.
- Limit required questions to essential information. Excessive required fields can make forms more difficult to complete.
- Use attachments intentionally. Require attachments only when documentation is necessary for agency operations.
- Select recognizable icons. Choose icons that help portal users identify the purpose of each tile.
- Verify portal visibility. Confirm that tiles are available in the intended Community Connect or High Hazard portal.
- Archive outdated questions. For published tiles, archive questions that are no longer relevant rather than attempting to modify historical data.
- Deactivate tiles when necessary. Use Inactive status to remove tiles from the portal while preserving submitted information.
- Review tile ordering. Organize frequently used or important tiles so they are easy for portal users to find.
Troubleshooting & FAQs
Why can't I publish my Information Tile?
An Information Tile must contain at least one question before it can be published. Verify that a question has been added and saved.
Why can't I edit a question on a published tile?
Published questions are immutable to preserve the consistency of previously collected information. You can archive the existing question and add a new one with the updated wording or configuration.
Can I return a published tile to Draft status?
No. Publishing is a one-way action. Once published, the tile remains in Published status, although it can be made Inactive.
Why can't I delete an Information Tile?
Tiles with associated records cannot be deleted. If the tile has existing records, deactivate it instead to remove it from the portal while preserving historical information.
Can I upload my own icon?
No. Custom Information Tiles support icons from a predefined selection only.
Can I make an Information Tile available in the Business Portal?
No. Custom Information Tiles support Community Connect and High Hazard portal visibility only.
Will users receive notifications when Information Tile responses are saved?
No. Custom Information Tiles do not include status workflows or notification configurations. Answers are saved directly to the associated profile.
What happens to information when a tile is deactivated?
The tile is hidden from portal users, but previously submitted records remain available to staff.
Can I edit the existing Occupancy Information, Access & Utilities, HazMat, or Fire Systems tiles?
No. Existing preconfigured Information Tiles remain unchanged. The Custom Information Tiles feature allows agencies to create additional tiles.
Can I change the order of Information Tiles for only one portal?
No. Tile ordering is agency-wide rather than portal-specific.
