What - Agencies can now configure an advance limit for self-service vacancy sign-ups on the Shift Board. When enabled, the setting restricts personnel from signing up for vacancies beyond a rolling window of 0–90 days from the current date. Vacancies outside the configured window remain visible, but the sign-up action is unavailable until the vacancy date enters the allowed range. The restriction applies only to self-service vacancy sign-ups and does not affect Call Shifts, trades, Off Roster workflows, or administrator and supervisor manual placement.
Why - This enhancement provides agencies with greater control over how far in advance personnel can sign up for open vacancies while preserving visibility into future staffing needs.
How
Navigate to the applicable Shift Board Settings.
Enable the vacancy sign-up advance limit.
Configure the permitted sign-up window from 0–90 days.
A setting of 0 days allows personnel to sign up only for vacancies occurring on the current day.
Vacancies beyond the configured window remain visible, but self-service sign-up is disabled until they fall within the permitted range.
Use Case - An agency that wants personnel to sign up for open vacancies no more than 30 days in advance can enable the setting and enter a 30-day window. Personnel can still see vacancies scheduled farther into the future, but they cannot sign up for those vacancies until the date moves within the 30-day range.
Sign Up for Open Vacancies from My Shifts
What - Personnel can now discover and sign up for open vacancies directly from My Shifts. Calendar indicators identify days with available vacancies, and users can open the applicable day to review vacancies for which they hold the required qualifier. The workflow uses the existing Shift Board vacancy sign-up logic, including qualifier eligibility, full-shift or partial-hours signup options, and administrative approval when configured.
Why - This enhancement gives personnel another direct entry point for finding and signing up for eligible open vacancies without requiring them to navigate through the Shift Board.
How
Navigate to Scheduling → My Shifts.
Review the calendar for a day displaying available open vacancies.
Select the applicable day and open the vacancy sign-up option.
Review the vacancies displayed for that date.
The system filters available vacancies based on the qualifiers held by the user.
Select an eligible vacancy and complete the available sign-up workflow.
Existing vacancy rules continue to determine whether the signup is for a full shift or eligible partial hours.
If administrative approval is configured, the submitted request follows the existing approval process and the requester receives a pending confirmation.
Use Case - A user reviewing their upcoming schedule in My Shifts may see that an open vacancy is available on a particular date. They can select the date, review only the vacancies for which they meet the qualifier requirements, and submit a signup without leaving My Shifts. If agency settings require approval, the request follows the existing pending approval workflow.
Time Off Request Routing Rules
What - Time Off Request Routing has been expanded from a single agency-wide configuration into configurable Routing Rules. Agencies can create rules based on a combination of Time Off Type and organizational attributes such as Division, District, or Station, allowing requests to be directed to different approvers based on the personnel and request involved. Escalation is also configured at the individual rule level rather than as a separate global configuration.
Why - This enhancement provides more precise control over Time Off request routing when different Time Off Types, locations, or organizational groups require different approval responsibilities.
How
Navigate to Scheduling → Setup → Time Off Settings → Routing Rules.
Create a rule for the applicable Time Off Type.
Select an organizational attribute such as Division, District, or Station, when organizational routing is required.
Select the applicable organizational value.
Configure the approver method for that rule using the available Time Off routing options.
Configure escalation directly within the rule when escalation is required.
The system automatically determines rule precedence using the most specific available match:
Time Off Type + Organizational Attribute
Time Off Type only
Catch-all rule
Manual rule reordering is not required.
Existing global routing configuration is migrated into catch-all rules, while existing Time Off Type escalation configuration is carried into the resulting rules for that type.
Use Case - An agency can route Vacation requests from personnel assigned to one station to one approver while routing the same Time Off Type from another station to a different approver. A broader Time Off Type rule can handle requests that do not match a station-specific rule, while a catch-all rule provides a final routing path for requests that do not meet more specific criteria.
Bug Fixes
FLSA Calculations Display Correctly in Scheduling Time Card
What - Corrected an issue where Scheduling → Time Card displayed the original Shift Board hours and work type instead of the hours and work type calculated by applicable FLSA rules. The Time Card now reflects FLSA-calculated results consistently with Scheduling payroll reports.
Why - FLSA calculations were being applied correctly in payroll-related reports but were not reflected in the Scheduling Time Card, creating inconsistent payroll information between the two areas.
How
Configure and apply FLSA rules as usual.
Navigate to Scheduling → Time Card for a week within the applicable FLSA calculation period.
When a qualifying shift meets the configured FLSA rule, the Time Card will reflect the calculated FLSA hours and work type.
No additional configuration is required for this fix.
Use Case - When personnel work shifts that qualify for an FLSA rule, administrators reviewing Scheduling → Time Card can now see the same FLSA-calculated hours and work type that appear in payroll reports, providing consistent information when reviewing or preparing payroll data.
