Register for the WebinarInvoice Locking After Partial Payments (Bug Fix)
- What - Invoice locking has been corrected so that applying any payment, including a partial payment, locks the invoice. Existing locking behavior for emailed, mailed, and fully paid invoices remains unchanged.
- Why - Previously, partially paid invoices could remain editable even though other payment and delivery states locked the invoice. This correction protects billing information from being changed after financial activity has occurred and provides consistent locking behavior across invoice workflows.

How
- Apply payments using the existing invoice payment workflow.
- Once any payment greater than $0 is applied, the invoice is considered locked.
- On a locked invoice, the billing anchor and top-level billing information are read-only.
- If billing information on a locked invoice needs to be corrected, use the existing Void process and recreate the invoice as appropriate.
- Note: Existing partially paid invoices that were previously editable become locked under the updated rule.
- Use Case - If a customer makes a partial payment toward an invoice, staff can no longer change the invoice's business or vendor billing anchor afterward. This prevents billing responsibility from being reassigned after payment activity has begun and keeps partial-payment behavior consistent with fully paid, emailed, and mailed invoices.
ITM Module Submission and Refund Receipt System (New Feature)
What - The ITM Module now includes a Submission Receipt and Refund Receipt System that provides users with documented confirmation of financial transactions. This system supports credit usage tracking, refund processing, and audit-ready record keeping within the module.
Why - Users need clear, reliable documentation of financial activity to support transparency, accountability, and operational trust when submitting and managing transactions through the ITM Module.
How
- This feature introduces receipt generation capabilities tied to submission and refund workflows within the ITM Module
- Navigate to the ITM Module within your account
- Complete a submission that involves credit usage or a qualifying transaction
- Upon completion, a Submission Receipt will be generated and accessible for your records
- If a refund is processed against a prior submission, a Refund Receipt will be generated and associated with the original transaction
- Receipts can be reviewed for audit and reconciliation purposes as needed
- Access to receipt features may be subject to user permissions configured within your system
Use Case
- A user submits a request through the ITM Module and immediately receives a submission receipt confirming the transaction and credit usage.
- An administrator reviews refund receipts to reconcile financial records and ensure accurate accounting of returned credits.
- An agency auditor accesses historical submission and refund receipts to verify transaction accuracy during a compliance review.
