Purpose Statement
The First Due Standard Import provides agencies with a preconfigured starting point for recording and managing training activities in the First Due Training Module.
This article explains how to manage the imported Categories, Topics, Courses, Standards, and Training Templates. It also covers how to edit, deactivate, or delete imported items while preserving the relationships between training records.
Background Information
The First Due Standard Import is typically added to the Training Module during implementation. It includes:
- Categories
- Topics
- Courses
- Standards
- Training Templates
- Associations between related Categories, Topics, and Courses
Categories, Topics, and Courses are collectively referred to as CTCs.
The import is intended for agencies that do not already have an established list of CTCs. Agencies can use the imported items when documenting training through either:
- Scheduled Training
- Log Training
The courses included in the First Due Standard Import do not contain instructional content. They are used to classify and record training completed by agency personnel.
Content-based courses require Advanced Training and an enabled integration with a supported content provider.
Because Categories, Topics, and Courses are relational, changes to one item may affect associated items. Review the relationships and previous training use before deleting or modifying imported records.
Required Permissions
Users managing the First Due Standard Import must have access to the Training Module and permission to manage the applicable training configuration records.
Depending on the action being completed, the user must be able to:
Important: Access to log or complete training does not necessarily provide access to modify Training Module configuration records.
Step-by-Step Guide
1. Review the Imported Training Records
- Open the Training Module.
- Navigate to the applicable list view for the item you want to manage:
- Categories
- Topics
- Courses
- Standards
- Training Templates
- Review the imported records and determine which items your agency will use.
- Before deleting an item, confirm that it has not been used to record a training activity.
- Review any associations between the item and other Categories, Topics, or Courses.
2. Understand the CTC Relationship Structure
Categories, Topics, and Courses have a relational structure.
For example, the course Apparatus Driving: Cone Course may be associated with:
- Topic: Apparatus Driving
- Category: Fire – Existing Driver Training
The course depends on the related Topic and Category. Because of this relationship, associated records must be deleted from the lowest level to the highest level.
Use the following deletion order:
- Courses
- Topics
- Categories
In the example above:
- Delete Apparatus Driving: Cone Course.
- Delete the Apparatus Driving Topic.
- Delete the Fire – Existing Driver Training Category.
Categories or Topics that do not have associations with other items can be deleted directly, provided they have not been used to record training.
3. Delete Unused Courses
- Open the Courses list view.
- Locate the course you want to remove or bulk select courses on the left.
- Confirm that the course has not been used to record a training activity.
- If deletion is attempted and training records exist, deletion will be unavailable.
- Delete the course using the available delete control.
- Repeat this process for each associated course before attempting to delete its Topic or Category.
4. Delete Unused Topics
- Open the Topics list view.
- Locate the Topic you want to remove.
- Confirm that all associated Courses and have been deleted.
- Confirm that the Topic has not been used to record training.
- Delete the Topic using the available delete control.
- Repeat this process for each associated Topic before deleting its Category.
5. Delete Unused Categories
- Open the Categories list view.
- Locate the Category you want to remove.
- Confirm that all associated Courses and Topics have been deleted.
- Confirm that the Category has not been used to record training.
- Delete the Category using the available delete control.
6. Deactivate an Imported Item
Deactivate an item when it should no longer be available for future training records but must remain in the system to preserve its relationships or historical training data.
- Open the applicable Category, Topic, Course, Standard, or Training Template list view.
- Locate the item you want to deactivate.
- Select the X icon associated with the item.
- Confirm the item is no longer available for selection when creating training.
Deactivation:
- Hides the item from active selection lists
- Prevents the item from being selected for new training activities
- Maintains its existing relational structure
- Preserves previously recorded training data
7. Edit an Imported Item
Editing allows an agency to customize an imported item without creating a replacement record.
- Open the applicable list view.
- Locate the Category, Topic, Course, Standard, or Training Template you want to modify.
- Select the pencil icon.
- Update the necessary information, such as:
- Item name
- Associated Category
- Associated Topic
- Other available configuration details
- Save the changes.
- Review the updated item and confirm that its associations are correct.
Important: Before changing a relationship, review how the item has been used in existing training records.
8. Manage Training Templates
Training Templates do not use the same relational structure as Categories, Topics, and Courses.
Training Templates may be:
- Edited
- Deactivated
- Deleted
These actions can be completed in any order and are not dependent on their use in a previous training activity.
- Open the Training Templates list view.
- Locate the Template you want to manage.
- Select the appropriate action:
- Select the pencil icon to edit the Template.
- Select the X icon to deactivate the Template.
- Use the available delete control to remove an unused Template.
- Save or confirm the action as required.
Best Practices
- Review the entire First Due Standard Import before making changes.
- Customize imported items to match your agency’s terminology and training program.
- Confirm that an item has not been used in a training activity before deleting it.
- Delete Courses before Topics and Topics before Categories.
- Deactivate previously used items instead of deleting them.
- Use the pencil icon to update an existing item when only its name or relationship needs to change.
- Check for associations before deleting a Category or Topic.
- Coordinate major CTC changes with the personnel responsible for training administration and compliance reporting.
- Avoid creating duplicate CTCs when an imported item can be edited to meet the agency’s needs.
- Periodically review inactive and unused items to keep training selection lists organized.
Troubleshooting & FAQs
Why can’t I delete a Category?
The Category may still be associated with one or more Topics or Courses. Delete the associated Courses first, followed by the Topics, and then delete the Category. The Category may also have been used in a previously recorded training activity.
Why can’t I delete a Topic?
The Topic may still have associated Courses. Delete the Courses before attempting to delete the Topic. Previously used Topics may need to be deactivated instead of deleted.
What is the correct order for deleting CTCs?
Delete Courses first, Topics second, and Categories last.
Can I delete a Category or Topic that has no associations?
Yes. An unassociated Category or Topic can be deleted directly, provided it has not been used to record a training activity.
What should I do if an imported item has already been used?
Deactivate the item by selecting the X icon. Deactivation prevents the item from being selected for future training while preserving historical training data and existing relationships.
What does the X icon do?
The X icon deactivates the item. It does not delete the item or remove it from previously recorded training activities.
How do I change the name of an imported Category, Topic, or Course?
Select the pencil icon, update the name, and save the record.
Can I change the relationships between imported items?
Yes. Select the pencil icon to edit the item and update its available relationships. Review existing training use before making relationship changes.
Do courses in the First Due Standard Import include training content?
No. The imported Courses are used to categorize and record agency training. They do not contain instructional content.
How does my agency access content-based courses?
Content-based courses require Advanced Training and an enabled integration with a supported content provider.
Do Training Templates need to be deleted in a specific order?
No. Training Templates do not have the same relational structure as Categories, Topics, and Courses. They can be edited, deactivated, or deleted in any order.
Why don’t I see the edit, deactivate, or delete controls?
Your user role may not include permission to manage Training Module configuration records. Contact your First Due administrator to review your permissions.
