Work Order List Master View Cost Summary Enhancements
- What - Added four new cost summary fields to the Work Order List Master View: Labor Hours Total, Labor Cost Total, Parts Cost Total, and Work Order Total. These fields are now also available in filtering, custom view configurations, and exported work order data, providing users with greater visibility into work order costs directly from the master list view.
- Why - This enhancement improves operational visibility by allowing users to quickly review labor and cost totals without opening individual work order records. Providing these financial summary fields within list views, filters, and exports helps streamline reporting, improve oversight of maintenance activities, and support faster decision-making.
- How
- Navigate to Work Orders > Master View.
- Review the newly available columns:
- Labor Hours Total
- Labor Cost Total
- Parts Cost Total
- Work Order Total
- To add these fields to a custom view:
- Select Customize View.
- Choose the new cost summary fields from the available column list.
- Save the custom view configuration.
- To filter work orders using the new fields:
- Open the Filters panel.
- Select any of the new cost summary fields as filter criteria.
- Apply the desired values or ranges.
- When exporting work orders:
- The new cost summary fields will automatically be included in export data when selected in the active view.
- If work order data is incomplete, blank values will display where applicable.
- Use Case - A fleet or facilities manager reviewing active work orders can now immediately identify high-cost repairs, compare labor hours across jobs, or filter work orders exceeding a specific cost threshold directly from the master list view. This reduces the need to open individual records and improves efficiency when reviewing operational expenses or preparing reports.
Equipment Archive End of Service Life Enforcement
- What - Updated the equipment archive process to automatically manage the End of Service Life Date when equipment records are archived. If the field is blank at the time of archiving, the system will automatically populate it with the current date. A confirmation warning modal has also been added to notify users that archiving is irreversible and that the date may be automatically set during the process.
- Why - This enhancement improves lifecycle data accuracy and consistency by ensuring archived equipment records contain valid service life information. Enforcing this behavior supports reporting, audit readiness, replacement planning, and long-term asset management while still preserving existing End of Service Life Dates when already populated.
- How
- Navigate to the desired equipment record within Equipment Management.
- Select Archive for the equipment item.
- Review the confirmation modal, which will:
- Warn that the archive action is irreversible.
- Inform users that the End of Service Life Date will be automatically populated if currently blank.
- Display equipment records missing an End of Service Life Date during bulk archive actions.
- Confirm the archive action.
- The system will:
- Automatically set the End of Service Life Date to the current date if blank.
- Leave the existing date unchanged if already populated.
- Complete the archive process.
- Use Case - An equipment manager archiving retired assets during an annual replacement cycle can now ensure that all archived records maintain accurate end-of-service lifecycle data automatically. This helps maintain reliable reporting and audit records while reducing the risk of incomplete asset history caused by missing retirement dates.
If an End of Service Life Date Exists
The system displays the standard archive confirmation prompt and includes a warning that:
- The item will be removed from the active Equipment List
- Historical information will remain available
- The equipment item can no longer be used in the system
- Archiving cannot be undone
If No End of Service Life Date Exists
The system displays an additional warning message indicating:
- If the End of Service Life Date field is blank, the system will automatically set it to the current date during the archive process
- Archiving cannot be undone
This update helps ensure archived equipment records maintain a complete lifecycle history.
