Automated ITM Email Compliance Notifications

- What - Introduced automated email compliance notifications for ITM deficiencies and overdue inspections, delivering the same notifications currently sent via physical mail through an additional email channel. These notifications follow identical compliance logic, triggers, cadence (30/60/90 days), suppression rules, and duplicate prevention as existing mail notices, ensuring consistency across communication methods while improving delivery speed.
- Why - Physical mail delivery introduces delays that can leave property owners unaware of compliance issues for extended periods. Adding email notifications enables immediate communication, reduces the need for manual follow-up, and helps drive faster resolution of deficiencies while maintaining alignment with established compliance processes and legal notification practices.
- How -
- Navigate to ITM Setup → General Settings
- Locate the Enable ITM Email Compliance Notifications toggle
- Switch the toggle to Enabled (First Due Super Admin only)
- Ensure ITM reports are in Approved status for notifications to generate
- Confirm that recipient email addresses exist for ITM Contact, Occupancy Contact, or Property Owner
- Note: Notification cadence, templates, and compliance logic are predefined and cannot be modified
- Note: Notifications are evaluated and sent automatically via scheduled backend processing
- Use Case - When an inspection is completed and approved with a deficiency or a system becomes overdue, the system automatically schedules and sends email notifications at 30, 60, and 90 days past due to available contacts. This ensures property owners are promptly informed and can take corrective action early, reducing the likelihood of escalation and improving overall compliance rates without requiring manual outreach.
