Purpose Statement
This feature enables users to efficiently manage multiple inspections simultaneously through three key bulk actions: deleting unwanted inspections, downloading inspections for offline use, and manually syncing inspection data when connectivity issues occur. These bulk actions streamline inspection management workflows and support field operations in areas with limited internet connectivity.
The Inspections List bulk actions provide essential functionality for managing inspection workflows at scale. The Delete action allows permanent removal of cancelled, in-progress, or scheduled inspections. The Download action enables offline inspection capabilities by caching inspection data locally on the device. The Sync action provides manual synchronization when automatic syncing fails due to connectivity issues. These features are particularly valuable for departments conducting numerous inspections or operating in areas with unreliable internet connections.
Required Permissions
Users must have the following permissions enabled to access these bulk actions:
- Delete Inspections permission - Controls ability to permanently remove inspections
- Download Inspections permission - Controls ability to cache inspections for offline use
- Sync Inspections permission - Controls ability to manually synchronize inspection data
Note: Only inspections with specific statuses (Cancelled, In-Progress, and Scheduled) can be deleted using the bulk delete function.
1. Use Advanced Search to filter you list of Inspections as needed. In this example I have filtered the Inspections list by Address, Inspection Status (Cancelled, In Progress, and Scheduled).
Delete Inspections:
1. With the permission enable as shown above the following Inspections with these statuses can be deleted: Cancelled, In-Progress, and Scheduled
2. Select all or several Inspections to delete:
3. Select "Delete."
The Inspections deleted using this feature is permanent and they cannot be recovered.
Download Inspections:
If a user plans on performing Inspection while Offline, this feature provides the ability to download the data to the device cache. These inspections will be available offline, and users can access and complete the occupancy, contacts, checklist, and signatures sections without an internet connection. These reports will automatically sync when an internet connection is reestablished.
1. Select the Inspection as demonstrated in the Delete Section.
2. Use the download icon to download a batch of inspections to
your device cache.
3. The user will be able to Sync or remove the downloaded Inspection from the device cache using the buttons in the Actions Column:
Sync Inspections:
When the data connection is restored, the Inspection data should sync automatically. If an issue arises a manual Sync can be performed.
Failed sync example in the Sync Status Column:
1. Select the Inspection(s) as demonstrated in the Delete Section (#1).
2. Select "Sync" (#2).

Best Practices
Before Deleting:
- Always use Advanced Search filters to ensure you're selecting the correct inspections
- Double-check inspection statuses - only Cancelled, In-Progress, and Scheduled inspections can be deleted
- Consider the permanency of deletions before proceeding
For Offline Downloads:
- Download inspections before heading to areas with poor connectivity
- Limit downloads to inspections you'll realistically complete to conserve device storage
- Regularly sync and remove completed inspections from cache
Sync Management:
- Allow automatic syncing to occur when connectivity is restored
- Use manual sync only when automatic sync fails
- Monitor the Sync Status Column for failed sync indicators
Troubleshooting & FAQs
Q: Why can't I delete certain inspections?
A: Only inspections with Cancelled, In-Progress, or Scheduled status can be bulk deleted. Completed inspections cannot be deleted using this method.
Q: Can deleted inspections be recovered?
A: No, inspections deleted using the bulk delete feature are permanently removed and cannot be recovered.
Q: How long do downloaded inspections stay in device cache?
A: Downloaded inspections remain in cache until manually removed or automatically synced. Monitor your device storage and remove unneeded cached inspections regularly.
Q: What happens if sync fails repeatedly?
A: Check your internet connection and try manual sync. If issues persist, contact system support as there may be server-side synchronization problems.
Q: Can I work on inspections completely offline?
A: Yes, downloaded inspections allow you to complete occupancy, contacts, checklist, and signatures sections without internet connection. Data will sync automatically when connectivity returns.
