Offline Inspections

Purpose

  1. To demonstrate the process of documenting an inspection while offline.
  2. The First Due Mobile App can be used for this process by accessing the Inspections List or My Inspections from the menu.

NOTE:
  1. The Fire Inspection shortcut on the First Due Mobile iOS App is no longer in use.
  2. Online and Offline Inspections can be made and recorded using the Inspections List or My Inspections from the Menu in the First Due Mobile App or from a web browser.

Additional Information

  1. Offline Inspections is a useful tool in the event you're in the field conducting and recording inspections without a reliable internet connection on your device.
    1. Planned or unplanned loss of connectivity.
  2. As a best practice, all anticipated inspections for the day should be synced to the device.
  3. Syncing functionality:
    1. When offline, only remove downloaded inspections from the device when completed, or the user uses the "remove from cache" action button. This is to prevent the user from having an inspection in progress and saving while getting some internet, and we were removing that inspection from the device.
    2. Once synced, completed inspections are removed from the device if the user is on the inspection list and if you are inside the inspection.
    3. Only inspections "In Progress" and "Scheduled" can be synced to the device.
    4. When offline, show a confirmation message if the user tries to delete the inspection from the device that is not synced with the server.
    5. Show a confirmation message if the user tries to bulk delete inspections from the device that are not synced with the server.
    6. Sync Status Filter to the Inspection and My Inspection Lists to filter by two Sync Status:
      1. Downloaded
      2. Upload Issues
    7. Sync status to show when the inspection has modified offline data that has not yet been saved to the server.
  4. During the sync process all data is synced to the device except:
    1. Full Occupancy Violation History
    2. Pre-plan data
    3. Permits
  5. Once the device is online and connected to internet, your recorded data syncs to the web and then Inspection Reports can be sent out.
    1. A best practice to send out the inspection reports is to use the Bulk Action “Send Email” on the Inspections List and My Inspections pages.

Instructions

1. Click on Inspections.

4. Note the Online Status next to your name.

5. Note the Sync Status column. In this instance, the cloud indicates the Inspection data is on the web.

6. To sync the Inspection to the device, select download or to perform a bulk operation for multiple inspections, see the next step.
  1. Note that if you have a data connection, the Inspection will sync automatically when Inspect is selected.

7. Select one or more or All Inspection(s) for the Bulk Action and then select Download to sync the Inspection to your device.

8. For Inspections that are synced, you should see this icon in the Sync Status column.

9. Additionally, you should see the Sync and Remove from Cache buttons in the Actions column for the synced Inspection(s).

11. When you take the device offline or you lose your data connection, this will change to Offline.

13. Select Start Inspection to record your Inspection data.

14. Click on Occupancy and update the Occupancy Record as appropriate.

15. Click on Contacts and update and/or add as needed.







16. Click on Checklist and complete as required for the Inspection.

17. Click on Review Violations. Only current violations will be displayed. Note that the Violations History page is not available while Offline.

18. Click on Signatures and enter signatures as required for the Inspection.

19. Click on Schedule Reinspection if necessary if there are open violations.

22. When you go back online, the status will change to Online.

22. To send the Inspection Report via email or print to paper, click Review.
  1. Optionally, you can send or print multiple Inspection Reports using the Bulk Action "Send Email" or print to paper using Bulk Action "Print."
