Purpose Statement
The Autofill from Report feature allows service providers to quickly populate ITM (Inspection, Testing, and Maintenance) submission fields by uploading an inspection report. This functionality reduces manual data entry, improves accuracy, and speeds up the submission process when reporting system inspections to the Authority Having Jurisdiction (AHJ).
Background Information
Service providers frequently submit ITM reports to AHJs through the Business Portal. Traditionally, this required manually entering system details from inspection reports into the portal.
The Autofill from Report feature streamlines this process by automatically extracting relevant information from an uploaded inspection report and populating supported fields within the ITM submission form.
Key points to understand:
The feature analyzes uploaded reports and attempts to match report data with portal fields.
It supports PDF, JPG, JPEG, and image files.
Extracted data must closely match the terminology used by the AHJ system configuration.
Users can review and edit autofilled fields before saving the submission.
This tool improves efficiency while still maintaining human verification where necessary.
Required Permissions
To use the Autofill from Report feature, users must:
Have access to the Business Portal
Be registered as a Service Provider
Have permission to Create and Submit ITM Reports
Permissions may be managed by an organizational administrator within the platform.

Step-by-Step Guide
1. Sign In to the Business Portal
Navigate to the Business Portal login page.
Enter your service provider credentials.
Click Sign In.
After logging in, you will see a grid displaying ITM submissions associated with the AHJs you work with.
2. Start a New ITM Submission
1.Click Add ITM.
2. Enter the property address.
Important:
The address must be entered manually and cannot be autofilled from the report. This ensures the address is verified by a user.
3. Add a System
1.Select Add System.
2.Locate the Autofill from Report option within the system entry area.
4. Upload the Inspection Report
Click Autofill from Report.
Upload your inspection report file.
Supported file types include:
PDF
JPG
JPEG
Image files
The system will analyze the uploaded report and attempt to extract relevant data.
5. Review Identified Fields
Once the report is processed:
The system will display how many fields were identified and populated.
Review all populated fields carefully.
Examples of fields that may autofill include:
ITM Occupancy ID
System ID
Type of Service
Type of System
System Status
Property Contact Information
6. Resolve Validation Issues
Some fields may require manual adjustments.
Common examples include:
Alphanumeric IDs not supported
Spaces in system identifiers
If validation errors appear:
Edit the field.
Remove unsupported characters or spaces.
Confirm the error indicator disappears.
7. Verify System Terminology
Autofill relies on exact terminology matching between the uploaded report and the AHJ’s configured system list.
Example:
Report wording: Fire Sprinkler System
AHJ configuration: Automatic Sprinkler System
If wording does not match exactly, the system may not populate the field and manual selection will be required.
8. Review and Save the Submission
Confirm all autofilled and manually entered information is correct.
Make any necessary edits.
Save or submit the ITM report.
Best Practices
Always verify the property address manually before uploading the report.
Use clear, standardized inspection reports to improve data recognition accuracy.
Ensure terminology in reports closely matches AHJ system terminology.
Review all autofilled fields before submitting.
Remove unsupported characters (letters or spaces) from numeric ID fields when necessary.
Avoid:
Uploading unsupported file formats
Assuming autofilled fields are always correct without verification
Using inconsistent system terminology in reports
Troubleshooting & FAQs
Why didn’t some fields autofill from my report?
Autofill depends on exact wording matches between the report and the AHJ configuration. If the terminology differs, the system cannot automatically populate that field.
What file types are supported for autofill?
Supported formats include:
PDF
JPG
JPEG
Image files
Why am I seeing validation errors on the System ID or Occupancy ID?
Some fields do not support alphanumeric characters or spaces. Edit the field and remove unsupported characters to resolve the error.
Can the address be autofilled from the report?
No. The property address must be entered manually to ensure human verification.
Can I edit autofilled information?
Yes. All auto-filled fields can be reviewed and edited before saving or submitting the report.
