Summary
This article provides best practices for setting up and managing certifications in the Training Module, including enabling association-based selection limits, configuring certifications, using Class Documentation for Categories, Topics and Objective (CTO) selection, and displaying class documentation reporting within the certification.
Limit selections to associations
Overview
Enable the setting that limits selections to associations so users only see relevant association options during setup and use of training-related records.
Why this matters
Using association limits helps reduce selection errors and keeps the certification workflow more focused. This supports cleaner data entry and a more controlled user experience.
Steps
Navigate to Set Up.
Select the Settings sections.
Enable Limit Category, Topic, and Objective selections
Once enabled, the setting will be saved.
Expected Result
When Training Classes are created and completed, class creators will be limited to Topics and Objectives that have been associated with a Category and with one another. Only Associated Topics and Associated Objectives will be available during class creation.
Set up the certification
Overview
Configure the certification so it aligns with the intended training requirements and reporting needs.
Why this matters
A well-structured certification helps ensure training requirements are clear, easier to manage, and easier to review over time.
Steps
Open the Certification setup area in the Training Module.
Create a new certification or edit an existing one.
Enter the appropriate certification details and requirements.
Confirm the certification is set up to support the intended documentation and reporting structure.
Save the certification.
Expected Result
The certification is configured consistently and is ready to support training and documentation tracking. Ensure that the certification created matches the respective jurisdiction requirements. See the related Article and Creating Certifications for a detailed explanation.
Use Class Documentation for CTO selection
Overview
Use Class Documentation to select the appropriate CTOs as part of the documentation process tied to training activity.
Why this matters
Selecting the correct CTOs in class documentation helps ensure the appropriate oversight is captured and supports more meaningful certification-related reporting.
Steps
Add a Class or select from Course Library to being the process.
Add Class opens a blank class without CTO's already include
Add from Course Library opens a class template with some fields already filled out.
Locate the area where CTOs are selected.
Choose the appropriate CTOs based on the class and documentation requirements.
Complete all other class specific fields as needed or required.
Expected Result
The class documentation reflects the correct CTO selections and supports downstream certification visibility.
Show class documentation reporting on the certification
Overview
Ensure class documentation reporting is visible or connected to the certification so supporting training activity can be reviewed from the certification record.
Why this matters
Displaying class documentation reporting within the certification provides better visibility into progress and supporting records, making certification review more complete and efficient.
Steps
Navigate to Manage Certifications and select the view icon for the member associated with the class just completed.
Verify that Class Documentation Reporting is associated with or available to the certification.
Confirm the related class documentation appears as expected
Expected Result
Class documentation reporting is visible from the certification, allowing users to review supporting documentation as part of certification tracking.
Additional Notes
Use a consistent setup approach across certifications to create a predictable user experience.
Review configuration after setup to confirm documentation and reporting behave as expected.
Testing with a sample class can help validate that association limits, certification setup, CTO selections, and reporting all work together correctly.
