Purpose Statement
The Credentials List allows Training module admins to manage agency credentials in First Due. From this list, admins can create new credentials, import global credentials created by First Due, search and filter credential records, and manage existing credentials.
This feature helps agencies maintain accurate credential records for personnel while supporting training, compliance, and credential tracking workflows.
Background Information
Credentials are used to track qualifications, certifications, or other credential-based requirements for agency members. The Credentials List provides a centralized location for managing these records within the Training Module.
Module admins can use the Credentials List to:
- View all agency credentials
- Search for credentials by ID or Name
- Apply filters to narrow the list
- Create saved views for quicker access
- Add new agency credentials
- Import global credentials created by First Due
- Edit, clone, or delete existing credentials
Credential management should be handled carefully because changes may impact personnel records and historical credential tracking.
Required Permissions
Users must have access to the Training Module and the appropriate administrative permissions to manage credentials.
Permission names may vary by agency configuration. If a user cannot access the Credentials List or perform credential management actions, an agency administrator should review the user’s role and permissions.

Step-by-Step Guide
Navigate to the Credentials List
- Select Training from the main navigation menu.
- Select Credentials.
The Credentials List will display all agency credentials available in the Training Module.
Access or Create Saved Views
- At the top of the Credentials List, locate the saved views area.
- Select an existing saved view to quickly apply a preferred list layout or filter set.
- Create a new saved view as needed to save commonly used list settings.
Saved views help admins quickly return to commonly used credential list configurations.
Search the Credentials List
- Select the magnifying glass icon.
- Search by either ID or Name.
- Review the results displayed in the list.
Search is useful when locating a specific credential quickly.
Filter the Credentials List
- Select the Filter button.
- Apply the desired filter options.
- Review the filtered list results.
Filters help narrow the Credentials List when managing a large number of agency credentials.
Import Global Credentials
- Select the Actions dropdown.
- Choose the option to import global credentials created by First Due.
- Follow the prompts to complete the import.
Global credentials can help agencies standardize credential tracking by using credentials already created by First Due.
Add a New Credential
- Select Add Credential.
- Enter the required credential information.
- Save the credential.
The new credential will be added to the agency’s Credentials List.
Manage an Existing Credential
- Locate the credential in the list.
- In the Actions column, choose one of the available actions:
- Edit to update the credential
- Clone to duplicate the credential
- Delete to remove the credential
Use caution when deleting credentials. Deleting a credential will unassign all agency members who are currently assigned to that credential.
Best Practices
- Clone a credential before making major changes so historical data can be maintained.
- Avoid deleting credentials unless the credential is no longer needed and the impact has been reviewed.
- Review assigned personnel before deleting a credential.
- Use saved views for frequently used list configurations.
- Use search and filters to quickly locate specific credentials.
- Maintain clear and consistent credential names to improve searchability and reporting.
- Limit credential management access to users responsible for Training Module administration.
Troubleshooting & FAQs
Why can’t I access the Credentials List?
You may not have access to the Training Module or the required permissions to manage credentials. Contact an agency administrator to review your user role and permissions.
Why can’t I add, edit, clone, import, or delete credentials?
Your role may not include credential management permissions. An agency administrator should confirm that your permissions allow you to manage credentials in the Training Module.
What happens if I delete a credential?
Deleting a credential will unassign all agency members who are currently assigned to it. Review the credential carefully before deleting it.
Should I edit or clone a credential when changes are needed?
As a best practice, clone the credential first when significant changes are needed. This helps preserve historical data while allowing updates to be made on a new version of the credential.
Can I search for a credential by name?
Yes. Select the magnifying glass icon and search by Name or ID.
Can I import credentials instead of creating them manually?
Yes. Use the Actions dropdown to import global credentials created by First Due.
