Navigating the Code Organizer

Purpose Statement

The Code Organizer provides fire and EMS departments with a centralized tool to manage, search, and organize inspection codes efficiently. This feature enables users to maintain accurate code databases, perform bulk operations, and ensure compliance by properly managing code associations with checklist items.

The Code Organizer is located within the Inspections module and serves as the primary interface for managing inspection codes used throughout your department's operations. This tool is essential for maintaining organized code databases, especially when codes need to be updated, replaced, or deactivated while preserving associated checklist items. The advanced search and bulk action capabilities make it particularly valuable for departments managing large code inventories.


Required Permissions

Users need the following permissions to access and use the Code Organizer:

  • Access to Inspections module
  • View codes permission
  • Edit codes permission (for modifications)
  • Delete codes permission (for removal operations)
  • Bulk actions permission (for multiple code operations)

Step-by-Step Guide




1. Click on Inspections.

2. Click on Code Organizer.

3. The Code Organizer has an advanced search feature at the top of the page.

4. Select or enter data to search or filter your codes by.

5. Click on search.

6. Click on Reset to reset the advanced search fields.

7. Click on Download to down load your codes to a spreadsheet. The download will respect any advanced search criteria entered.

8. Select one or more or all for Bulk Actions.

9. Bulk Actions: Activate Codes, Deactivate Codes, and Delete Codes.

  1. A Code associated to a checklist item cannot be deleted.
  2. A delete action is a hard delete and the data cannot be recovered.
  3. See below regarding deactivating a code that is associated to a checklist item.





10. Click on column title to sort ascending or descending.

11. Actions: View Associated Checklist Item, Activate, Deactivate, Edit, and Delete.
  1. A Code associated to a checklist item cannot be deleted.
  2. A delete action is a hard delete and the data cannot be recovered.
  3. See below regarding deactivating a code that is associated to a checklist item.





12. To Deactivate a code associated with a checklist item, click on Deactivate.

13. The user will be redirected to a Deactivate Codes page.

  1. If you choose to deactivate using the checkboxes on the left, the checklist items will remain active, but no code will be associated with them.
  2. If you use the replacement icon in the action column, you can replace the current Code with a new Code for the associated checklist item.
  3. This will also complete the deactivation of the selected Code value.

The user will be redirected to a Deactivate Codes page.



14. Click on Replacement to associate an active code before the current code is deactivated.

15. Click on Code set | Edition Year | Code number and select the replacement code from the list. Use the filter to narrow your search. Select Change when done.

  • Before deleting codes, verify they are not associated with active checklist items

Q: Why can't I delete a specific code? A: Codes associated with checklist items cannot be deleted. You must first deactivate the code or use the replacement function to substitute it with another code.

Q: What happens if I deactivate a code without replacing it? A: The associated checklist items will remain active but will lose their code association, which may impact reporting and compliance.

Q: Can I recover accidentally deleted codes? A: No, delete actions are permanent and cannot be recovered. Always verify your selection before confirming deletion.

Q: Why isn't my advanced search returning results? A: Check that your search criteria aren't too restrictive. Try using fewer filters or broader search terms.

Q: How do I know which codes are associated with checklist items? A: Use the "View Associated Checklist Item" action to see connections, or attempt a delete operation which will inform you if associations exist.
