Adding a Code to the Code Organizer

Purpose Statement

To demonstrate how to add a new Code to the Code Organizer module, enabling fire departments and EMS agencies to create standardized inspection codes for efficient categorization and tracking of violations, deficiencies, or compliance items during inspections.


Background Information

The Code Organizer is a centralized module within the inspection system that allows departments to create, manage, and organize inspection codes used during fire prevention activities, building inspections, and compliance checks. Codes help standardize documentation, ensure consistency across inspectors, and facilitate reporting and data analysis. This feature is essential for maintaining organized inspection records and meeting regulatory compliance requirements.


Required Permissions

To add codes to the Code Organizer, users must have:

  • Inspector or Administrator permissions
  • Code Management access rights
  • Inspection module permissions

Step-by-Step Guide




1. Click on Inspections.


Click on Inspections.



2. Click on Code Organizer.


Click on Code Organizer.



3. Click on Create Code.


Click on Create Code.



4. Enter data as needed to create your code.

5. Enter "Tags" to assist in searching or filtering Codes with the advanced search.





6. By default, your new Code will be set to Active status. Deselect to make an Inactive Code.

9. Click on Create when done.

  • Keep active codes current and archive outdated ones rather than deleting

Q: Why can't I see the Create Code button? A: Verify you have the appropriate permissions for code management. Contact your system administrator if needed.

Q: Can I edit a code after it's created? A: Yes, codes can be modified after creation, but changes may affect historical inspection data.

Q: What happens to inspections that used a code I deactivated? A: Historical data remains intact, but the code will no longer appear in active selection lists.

Q: How many tags should I add to each code? A: Use 3-5 relevant tags that inspectors would naturally search for to ensure optimal discoverability.
