ITM Reports - Accessing ITM Reports from Occupancy Records

Purpose Statement

The ITM Systems feature enables Authority Having Jurisdiction (AHJ) users to access all ITM systems associated with a specific occupancy directly from the occupancy record. This eliminates the need to navigate to ITM > ITM Reports and manually search for relevant systems, streamlining compliance review workflows and reducing time spent on administrative tasks.

Background Information

Previously, AHJs had to navigate to ITM > ITM Reports, locate the relevant report, and then view each system individually to access ITM system information. This multi-step process was inefficient for reviewing occupancy-related compliance. The new ITM Systems button creates a direct pathway from occupancy records to a pre-filtered ITM Reports view, showing only systems associated with that specific location and business.
This feature is particularly valuable during compliance inspections, routine reviews, and when responding to property-specific inquiries. It maintains context between the occupancy record and related ITM systems, allowing for more efficient review processes.

Required Permissions

  1. ITM report - read: Required to view ITM systems data
Users without this permission will not see the ITM Systems button in the occupancy navigation menu

Step-by-Step Guide

There are several ways to access Occupancy Records in First Due:
  1. Inspections List > Hyperlinked Address
  2. Inspection Organizer > Hyperlinked Address
  3. Pre-Plan Organizer > Hyperlinked Address
  4. Pre-Plan Map > clicking on Green house icon > clicking the address
  5. Pre-Plan Dashboard > Click on "book" icon  (as shown below)

For this demonstration, I'll use the Inspections List to show you the new ITM Systems feature


1. Click on Inspections.

3. Utilize filters to narrow down your search.

4. Once you locate the Address. Click on the hyperlink with the desired address.

5. Clicking on hyperlinked address will take you directly into the Occupancy Record for that specific location.

6. From the side bar menu select "ITM Systems".






7. This creates a filtered view within ITM Reports that is specific to each occupancy, so you're only seeing relevant systems.

8. From the Actions section you can click on the "Eye" Icon to access the ITM Submission.






9. Scroll down to find Systems and click on the "Eye" Icon next the system you wish to view in detail.






10. This will give you access to view any Notes, Attachments and relevant information regarding this particular System.

Best Practices

Do:
  1. Use the new tab functionality to keep both occupancy and ITM views open simultaneously
  2. Review the pre-applied filter chips to understand what data is being displayed
  3. Utilize the default column setup for efficient occupancy-focused reviews
  4. Apply additional filters to narrow results when reviewing large properties
Don't:
  1. Remove the pre-applied Address and Business Name filters unless specifically needed
  2. Navigate away from the filtered view without completing your compliance review
  3. Assume all ITM systems are displayed if no results appear - verify filter settings
Efficiency Tips:
  1. Keep the occupancy record tab open for cross-referencing information
  2. Use the default column display first before customizing - it's optimized for occupancy reviews
  3. Apply date range filters when focusing on recent or upcoming service requirements

Troubleshooting & FAQs

Q: The ITM Systems button doesn't appear in my occupancy navigation menu
A: This indicates you don't have the "ITM report - read" permission. Contact your system administrator to verify your access rights.

Q: The button appears but is disabled with a tooltip message
A: You don't have permission to view ITM systems for this specific occupancy. Contact your administrator about occupancy-specific permissions.

Q: I see "No ITM reports available" when I click ITM Systems
A: This means no ITM systems exist for this occupancy with the applied filters. Verify:
  1. The occupancy has ITM systems on file
  2. Address and business name match ITM records exactly
  3. Consider adjusting or removing filters if needed

Q: I get an error message "Unable to load ITM systems at this time"
A: Try these solutions in order:
  1. Refresh the page
  2. Try accessing from a different occupancy record
  3. Contact technical support if the issue persists

Q: The page loads slowly or times out
A: For properties with many ITM systems, the page may take longer to load. Wait up to 10 seconds before refreshing. Contact support if performance issues continue.

Q: Can I bookmark the filtered ITM view?
A: Yes, but the bookmark will only work if you have the same permissions and the occupancy data hasn't changed significantly.
