Purpose Statement

To provide fire and EMS personnel with a comprehensive guide for documenting reinspections in the system. This process allows inspectors to efficiently track and resolve previous violations, ensuring compliance with fire safety regulations and maintaining accurate inspection records for follow-up visits.


Background Information

Reinspections are critical follow-up visits conducted to verify that previously identified violations have been corrected. The system automatically tracks reinspections using a numbered sequence (x-1, x-2, etc.) and carries forward unresolved issues from the original inspection. This feature streamlines the reinspection process by focusing inspector attention on outstanding violations while maintaining a complete audit trail for compliance purposes.

Common use cases include fire code violation follow-ups, life safety system corrections, and annual inspection deferrals. The reinspection module integrates with the main inspection workflow and maintains all documentation requirements for regulatory reporting.


Required Permissions

Users must have the following permissions to complete reinspection documentation:

  • Inspection Module Access - View and navigate inspection records
  • Inspection Edit/Create - Modify inspection records and create new entries
  • Checklist Management - Access and update inspection checklists
  • Signature Collection - Obtain required signatures on inspection documents
  • Report Generation - Create and distribute inspection reports

Contact your system administrator if you need any of these permissions enabled.

Step-by-Step Guide




1. Click on Inspections.

3. It may be desirable to add advanced search filter such as "Is Reinspection" to locate the reinspection.






4. Reinspection's are numbered per the instance x-1 is the first reinspection, x-2 is the second reinspection, etc.

5. Click on "Inspect" to start the reinspection record.






6. Click on Continue Inspection (this account is set-up to display all inspections when a new one is started).

7. Click on Checklist.

8. Previous Checklist Items marked as Fail or Citation will be in the Previous Issues section.

9. Click on Previous issues.

10. Click on Resolved to close the violation.

12. When all violations are set to resolved, there will be no violations displayed.

  • Double-Check Resolution Status: Always use "Review Violations" to confirm no outstanding issues remain
  • Maintain Audit Trail: Keep printed or digital copies of all reinspection reports for regulatory compliance

Troubleshooting & FAQs

Q: Previous violations aren't showing in the Previous Issues section A: Ensure you clicked "Continue Inspection" when starting the reinspection. This loads previous inspection data. If issues persist, verify the inspection is properly linked as a reinspection.

Q: I can't mark a violation as resolved A: Check that you have proper edit permissions for inspection records. The violation may also require additional documentation before it can be marked resolved.

Q: The reinspection number seems incorrect A: Reinspection numbering follows the original inspection ID plus sequence number (x-1, x-2). Verify you're viewing the correct property's inspection history.

Q: Required signatures section is not appearing A: Ensure your user role has signature collection permissions. Some configurations may require specific workflow steps to be completed first.

Q: Can't generate or send the inspection report A: Verify that all required fields are completed and all violations are properly resolved. Check your report generation permissions and network connectivity.
