Purpose Statement

The Fleet Overview within the Assets module provides a centralized dashboard for monitoring and managing all department apparatus.


Background Information

The Fleet Overview serves as the primary command center for apparatus management, displaying real-time status information across the entire department fleet. This comprehensive view supports operational decision-making by providing immediate visibility into apparatus availability, maintenance requirements, and operational readiness. The interface is organized by apparatus groups and includes integration with scheduling systems for personnel-specific apparatus assignments, making it essential for both administrative oversight and field operations management.


Required Permissions

Users must have appropriate permissions within the Assets module to access Fleet Overview functions. Required permissions typically include:

  • Assets module access
  • Apparatus Overview viewing permissions
  • Service status management permissions (for status changes)
  • Check initiation permissions (for maintenance functions)
  • Work order access permissions (for maintenance management)

Contact your system administrator if you cannot access specific Fleet Overview functions.

Step-by-Step Guide


1. Click on Apparatus Overview within the Assets module.

2. Users will be directed into the Fleet Overview. The right-hand side of the screen displays all Apparatus for the account.

3. The tabs on the left represent the Apparatus Groups, selecting one will display the Apparatus associated with that group.

4. Selecting the tab from the Apparatus Group or the hyperlink from the main Fleet Overview, will direct users to the Overview record for that Apparatus.

5. Selecting My Apparatus will direct users to the Overview Record for their assigned Apparatus in their scheduling rotation.

6. The columns and functionality of the main Fleet Overview are broken down as follows:

  • A - Apparatus may be placed In or Out of Service.

  • B - If accounts are utilizing the Primary or Reserve Status, it may be managed from here.

  • C - Any checks that are due will display and may be initiated.

  • D - Displays the number of open work orders. Selecting the hyperlink will direct users to the Work Order section of the Overview record for that Apparatus.

  • * - Secondary ID is optional to be displayed in the Fleet Overview and is also dependent upon which ID system admins choose.




Best Practices

Do:

  • Regularly monitor apparatus service status across the fleet
  • Use apparatus groups to efficiently organize and view fleet segments
  • Initiate maintenance checks promptly when they appear as due
  • Access detailed apparatus records for comprehensive maintenance planning
  • Utilize "My Apparatus" feature for quick access to assigned apparatus

Don't:

  • Change apparatus service status without proper authorization or coordination
  • Modify apparatus status without understanding operational impacts

Q: Why don't I see "My Apparatus" in the Fleet Overview? A: "My Apparatus" is only available for accounts that utilize First Due's Scheduling module. 

Q: How do I know which apparatus are available for response? A: Apparatus showing "In Service" status in the Fleet Overview are available for emergency response. Out of service apparatus require attention before deployment.

Q: Can I change apparatus status directly from the Fleet Overview? A: Yes, authorized users can manage service status and primary/reserve status directly from the Fleet Overview interface.
