Assets Module Setup: Apparatus Fleet Overview External Shared Link

Purpose

  1. To explain how to generate and manage the Apparatus Fleet Overview External Shared Link within the External Sharing Tab of the Assets Module Setup Tab.

Navigation

  1. Navigate to Assets > Setup > External Sharing.




  2. A read-only view of the organization's Apparatus Fleet Overview can be viewed by external parties by creating a sharable external link.  To create a sharable link, click the Generate Shared Link button.  



    Note:  Apparatus Fleet Overview links are accessible for one year from the time of creation, however they can be revoked at any time.  

  3. A pop-up window showing the newly created sharable link will be displayed.  Click the OK button to confirm creation. 



  4.   Existing links can be viewed by scrolling through the External Sharing list.  Links can be copied by clicking the  icon or can be deleted by clicking the  icon in the Actions Column.




  5.   To delete multiple links simultaneously, select the links to delete by clicking the white box in the left column of the External Sharing List and then click the  icon.  To delete all of the previously created links, click the select all box in the title bar, and then click the  icon.  



    Note:  Any further attempt to access a deleted or expired link will result in a 404 error as seen be


  6.   Clicking the shared the link will give users a read-only overview of the organization's fleet as seen below. 




    Sharing a link with partner or neighboring agencies allows them to easily see the status of your fleet and alleviates inqueries concerning the status of your organization's units. 
     
    Sharable links create a convenient and easy pathway for company officers or chief officers to glance and see the status of apparatus checks, whether a unit is out of service, and/or whether there are outstanding work orders for a particular apparatus.
