Purpose Statement
The Custom View feature within the Med Log allows users to create personalized, filtered, and shareable list views of medication records. Custom views help users quickly access the information they need without manually reconfiguring filters, columns, and sorting each time they access the Med Log.
By creating custom views, departments can standardize how medication data is reviewed, improve reporting consistency, and provide role-specific views for supervisors, administrators, or other personnel.
Background Information
The Med Log module tracks medication usage, events, and related records for Fire/EMS agencies. While First Due includes predefined system views, users can also create their own custom views to display only the information most relevant to their responsibilities.
Custom views allow users to:
- Filter records using one or more criteria
- Choose which columns are displayed
- Lock (pin) column positions
- Apply default sorting
- Configure page size
- Share views with individuals, ranks, roles, or the entire organization
- Favorite frequently used views
- Pin a preferred view to automatically open whenever the Med Log is accessed
Depending on your permissions and existing views, the View selector may include the following folders:
- Favorites – Views you've marked as favorites.
- Predefined Views – Standard system views provided by First Due.
- Shared With Me – Custom views shared with you by other users.
- Custom Views – Views you have personally created.
Custom views are especially useful for:
- Controlled substance tracking
- Annual medication audits
- Supervisor review
- Compliance reporting
- Station or shift-specific monitoring
- Operational reporting
Users must have the appropriate Med Log permissions to create, edit, clone, or share custom views.
Required Permissions
To create and manage Custom Med Log Views, users must have the appropriate Med Log permissions, which may include:
- Access to the Medications module
- Permission to view the Med Log
- Permission to create and edit custom views
- Permission to delete custom views (if applicable)
- Permission to share views with other users
If the Add View option or editing controls are unavailable, verify the user's role permissions under:

Step-by-Step Guide
1. Open the Med Log
- Navigate to Medications.
- Select Med Log.
2. Review Available Views
Open the View dropdown to browse available folders:
- Favorites
- Predefined Views
- Shared With Me
- Custom Views (appears after you create your own views)
You can also:
- Select the Star icon to add a view to Favorites.
- Select the Pin icon to make a view your default whenever you open the Med Log.
3. Create or Clone a View
Select the ellipsis (⋮) next to the view selector.
Available options include:
- Add View – Create a new custom view.
- Clone – Create a copy of an existing view that you cannot edit or want to use as a starting point.
- Copy Link – Copy a direct link to the selected view.
Select Add View.
4. Enter a View Name
Enter a descriptive name that clearly identifies the purpose of the view.
Example:
- Controlled Substance Usages
- 2026 Medication Audit
- Station 1 Medication Events
5. Select Display Columns
From Available Columns:
- Select the desired columns.
- Move them into Selected Columns using the right arrow.
- Remove unwanted columns using the left arrow.
6. Organize and Lock Column Positions (Optional)
Use the Pin icon next to a selected column to lock its position.
Pinned columns cannot be reordered by users viewing the custom view, ensuring a consistent column layout.
Use the Sort icon to reorganize column configuration.
Columns at the top of the list appear on the far left of the list view.
7. Configure Default Sorting
Choose the column to sort by.
Select either:
- Ascending
- Descending
This determines the default order whenever the view is opened.
8. Add Filters
Begin typing in the Filters field to search for available filters.
Select each filter you want available within the view.

Event
Med Kit
Description
Medication Name
Hide Reversed Events
Lot Number
Serial Number
9. Configure List View Criteria (Optional but Recommended)
Add criteria to automatically limit the records displayed.
For each criterion:
- Select the Field
- Choose the Operator
- Select the appropriate Value
Operators vary depending on the selected field.
Important Note:
Operator values include the following (may vary based on Field selection):
In - multi-select multiple Values to include in List View.
Not In - multi-select multiple Values to exclude from List View.
Is Null - selected Value field is blank
Is Not Null - selected Value field is not blank
10. Add Additional Criteria (Optional)
Select Add Criteria to build more advanced filtering.
Choose whether the criteria should use:
- AND – All conditions must be true.
- OR – Any condition can be true.
As criteria are added, the system displays the complete filter expression at the bottom of the criteria section, making it easier to verify your logic before saving.
11. Configure Sharing
Choose who can access the view:
- Only Me
- Everyone
- Selected Users
If you select Selected Users, choose the users, ranks, or roles that should have access and move them into the selected list.
12. Allow Editing (Optional)
If sharing the view with others, you may enable:
Allow other users to apply changes
When enabled, users with access to the view can modify its configuration. Leave this option disabled if you want to preserve the original view.
13. Set Default Page Size
Select how many records should display by default.
Available options include:
- 20
- 50
- 100
14. Save the View
Select Save.
The new custom view opens immediately after it is saved.
15. Edit an Existing Custom View (Optional)
To modify one of your custom views:
- Open the custom view.
- Select the Edit (Pencil) icon.
- Update filters, columns, sorting, sharing, or other settings.
- Select Save.

- Use descriptive view names that clearly identify the purpose of the view.
- Create filtered views for recurring reporting or compliance requirements.
- Use AND and OR logic carefully to ensure the correct records are returned.
- Review the filter expression before saving to verify your criteria.
- Limit editing permissions on shared views to prevent unintended changes.
- Pin your most frequently used view to make it the default whenever you open the Med Log.

Troubleshooting & FAQs
Why don't I see the Add View option?
Verify your role includes permission to create and manage custom Med Log views.
Why can't I edit a shared view?
Only the view owner, or users granted permission through Allow other users to apply changes, can edit a shared view. If editing is not allowed, you can clone the view and modify your copy.
What is the difference between Favorites and Pinned views?
Favorites organize frequently used views into the Favorites folder. A pinned view automatically opens each time you access the Med Log.
Why are some filter operators unavailable?
Available operators change based on the selected field. Different field types support different filtering options.
My view isn't returning the records I expected.
Review your filter criteria and verify your AND/OR logic. You can also use the displayed filter expression to confirm the conditions match your intended results.
Why don't other users see my custom view?
Confirm the view is shared with Everyone or the appropriate Selected Users, Ranks, or Roles rather than Only Me.
