Purpose Statement
The Med Log reporting tools allow administrators to generate and export medication records in multiple formats to support compliance, auditing, inventory management, and record keeping. Users can generate reports for individual events, filtered event lists, or one or more selected medication events, depending on their reporting needs.
Background Information
The Med Log module tracks all medication-related activity, including counts, usages, transfers, and other medication events. Agencies frequently need to export this information for:
- DEA, state, or local compliance audits
- Controlled substance reconciliation
- Internal quality assurance reviews
- Medication inventory management
- Administrative record keeping
The Med Log provides three methods for exporting data:
- Individual Event Export (CSV) – Downloads a single event as a CSV file.
- List Export (CSV) – Downloads a filtered list of events as a CSV file.
- Bulk Action Reports (PDF) – Generates printable History, Individual, or Detailed Log reports containing additional information, including signatures where applicable.
Understanding the differences between these export options helps ensure the appropriate report is used for each situation.
Required Permissions
To generate Med Log reports, users typically need:
- Access to the Medications module
- Permission to View Med Logs
- Permission to Export or Print Med Logs
Important Note:
If export options or the Bulk Actions button are unavailable, verify the user's Medications module access and export permissions in User Management.

- History Log
- Individual Log
- Detailed Log
- The selected report opens as a PDF, where it can be viewed, saved, or printed.
Understanding the Report Types
History Log
The History Log displays the medication history for the selected pouch or events.
This report is useful for:
- Reviewing medication movement over a date range
- Identifying counts and usages
- Reviewing descriptions and discrepancies
The History Log displays user names but does not display signature images.
Individual Log
The Individual Log creates a separate page for each selected medication event.
Each page includes detailed event information along with the required signatures when applicable.
This report is useful when each medication event needs to be reviewed or filed independently.
Detailed Log
The Detailed Log combines all selected events into a single comprehensive report.
Depending on the event type, this report may include:
- Medication action performed
- Date and time
- User information
- Required signatures
- Lot and serial numbers
- Patient identifier information (for medication usage events)
- Additional event details
This report is recommended for compliance audits and documentation requiring complete event information.
Warning:
If a Date/Time filter is applied before generating a Detailed Log, the PDF report will display a NO EVENTS entry for each date within the selected date range that contains no medication events. This is expected behavior and helps document gaps in activity during the reporting period.
Best Practices
- Verify that you are using the correct view or filters before generating reports.
- Apply date ranges or event filters to limit reports to only the records you need.
- Use CSV exports when data analysis or spreadsheet manipulation is required.
- Use Individual or Detailed Log reports whenever signatures are required for compliance or auditing.
- Review selected events before running Bulk Actions.
- Store exported reports securely if they contain controlled substance or patient information.
Troubleshooting & FAQs
The Bulk Actions button is unavailable.
Select at least one medication event. If the button remains unavailable, verify your permissions.
The report downloaded as a CSV instead of a PDF.
Individual event downloads and list downloads always export as CSV files. To generate PDF reports, select one or more events and use Bulk Actions.
Why don't I see signatures in my exported report?
CSV exports do not include signatures. Generate an Individual Log or Detailed Log from Bulk Actions to include signatures where applicable.
Which report should I use?
- Individual Event Export (CSV): Export one event for spreadsheet use.
- List Export (CSV): Export multiple filtered records for spreadsheet analysis.
- History Log (PDF): Review medication history and activity.
- Individual Log (PDF): Produce one signed report per event.
- Detailed Log (PDF): Generate a comprehensive report with signatures and detailed event information.
