Purpose Statement
The Med Log provides a centralized location to view, search, filter, audit, and manage all medication-related activity within the system.
This feature allows departments to:
- Track medication usage and inventory events
- Monitor user activity related to medications
- Review medication discrepancies and occurrence issues
- Reverse eligible medication events
- Generate reports for audits and compliance
- Export log data for additional reporting purposes
The Med Log improves accountability, supports medication audits, and helps ensure accurate medication tracking across Fire and EMS operations.
Background Information
The Med Log is located within the Medications module and displays a detailed history of medication-related events, including usage, counts, adjustments, reversals, and inventory activity.
Departments commonly use the Med Log to:
- Review medication administration history
- Audit controlled substance activity
- Investigate medication discrepancies
- Verify who performed and approved medication events
- Reverse eligible events entered in error
- Generate reports for inspections and compliance
- Export filtered log data for additional analysis
The Med Log also supports customizable list views, advanced filtering, favorites, pinned default views, customizable columns, and report generation to streamline medication oversight.
Required Permissions
To access and utilize the Med Log, users typically need:
- Medications – View
- Medications – Med Log View
- Medications – Reverse Event (to reverse eligible events)
- Medications – Report/Export (to generate reports or export data)
Permissions may vary by agency configuration. Contact your system administrator if access is restricted.

Step-by-Step Guide
1. Navigate to the Med Log
- Select Medications from the main navigation menu.
- Select Med Log.
2. Select or Manage a Saved View
- Select the current view name in the upper-left corner.
- Browse available folders, including:
- Default View
- Custom Views
- Shared Views
- Select a view to load it.
- Select the Star icon to add a view to your Favorites.
- Pin a preferred view to make it your default landing view when opening the Med Log.
Important Note:
To create a new custom view or clone an existing one, select the More Options (⋮) menu and choose Add View or Clone View. For complete instructions, see Creating Custom Med Log List Views.
3. Search the Med Log
- Use the search field to locate records by keywords such as:
- User
- Event
- Description
- Medication
- Press Enter or select the search icon.
4. Apply Filters
- Select Filters.
- Filter by available criteria such as:
- Date and Time
- Medication
- Event Type
- Additional column-specific filters
- Optionally enable Hide Reversed Events.
- Select Apply.
5. Pin the Filter Panel
Select the Pin icon within the filter panel to keep filters visible while reviewing medication events.
6. Customize the Log Display
You can temporarily customize the Med Log by:
- Sorting columns.
- Dragging and dropping columns into a preferred order.
- Resizing columns.
- Changing the number of records displayed per page.
- Navigating between result pages.
7. Review Medication Events
Within each log entry, you can:
- Select the View (Eye) icon to open event details.
- Select the Reverse icon to reverse an eligible medication event.
- Identify reversed events by the red reverse indicator displayed next to the event date.
- Hover over the reverse indicator to see who reversed the event and when.

8. Review Occurrence and Discrepancy Events
Controlled substance medication discrepancies or occurrence issues are highlighted within the Med Log.
These indicators help identify situations where:
- Controlled substance counts do not match expected inventory.
- Inventory discrepancies require follow-up.
Open the event details to review the affected medication and investigate the discrepancy.

9. Review Event Details and Signatures
When viewing an individual medication event, you can:
- Review event information.
- View medication details such as lot numbers, quantities, forms, and seal numbers.
- Select Signatures to review everyone who approved or signed the event.
This information can assist when investigating medication discrepancies or audits.
10. Download an Individual Event
While viewing an event, you can download the event details.
Individual event downloads include the medication event information only. They do not include signatures or personnel associated with the event.
To generate reports containing signatures and complete audit information, use Bulk Actions.
11. Generate Reports with Bulk Actions
Select one or more medication events.
From Bulk Actions, generate reports such as:
- Detailed Log
- History Log
- Individual Log
These reports provide more comprehensive audit information than an individual event download.

12. Export Filtered Results
After applying filters, select Download CSV to export the current list.
This provides a quick way to create ad hoc reports based on your current search and filter criteria.

- Save commonly used filters as custom views.
- Favorite frequently used views for quicker access.
- Pin your preferred default view to reduce navigation time.
- Review occurrence and discrepancy indicators regularly.
- Verify event details before reversing medication activity.
- Use detailed Med Log reports whenever signatures are required for compliance or audits.
- Export filtered results to quickly provide operational summaries without generating full reports.
Troubleshooting & FAQs
Why can't I access the Med Log?
Verify that you have the required Medications and Med Log permissions. Contact your system administrator if necessary.
Why can't I reverse a medication event?
Only eligible events can be reversed, and your user account must have the appropriate reverse permission.
What does the red reverse icon mean?
The event has been reversed. Hover over the icon to view who performed the reversal and when it occurred.
What are occurrence or discrepancy indicators?
These indicate potential medication inventory discrepancies, such as controlled substance counts that differ from expected inventory levels. Open the event details to investigate.
Why don't signatures appear on my downloaded event?
Downloading an individual event only exports the event details. To include signatures and personnel information, generate a report using Bulk Actions.
Can I export only filtered results?
Yes. Apply your desired filters before downloading the CSV. The export reflects the current filtered view.
