New Feature
- Email Notification Preferences
What - A new Service Provider–facing feature has been released that enhances how ITM information is submitted and managed.
Why - While primarily used by Service Providers, this update improves data accuracy and consistency, resulting in clearer submissions and fewer errors during review.
How
No configuration required for AHJ users
Continue reviewing submissions within AHJ > ITM Reports as normal
Be aware that submission formatting or workflow may reflect the new enhancement
Use Case - An AHJ reviewer receives a completer and more structured ITM submission due to the new Service Provider functionality, allowing for a smoother and faster review process.
Enhancements
ITM – System-Level Compliance Check Scheduling
What - Compliance checks are now scheduled at the system level rather than per ITM submission. Each system independently generates compliance checks based on status events, with automatic cancellation of prior scheduled checks unless they are In Progress or Completed. The enhancement also adds new scheduling configuration options in ITM Setup and improves list visibility with a new Compliance Check # column (Initial/Reinspection), a renamed Compliance Check Type column, and status display reflecting the latest inspection in the series.
Why - Scheduling at the system level ensures inspections stay accurately tied to the correct system, even when multiple systems exist at a location or when location changes occur. Automated cancellation rules reduce duplicate inspections, improve accuracy, and minimize manual oversight.
How
Navigate to AHJ > ITM > ITM Setup > Initial, Update, or Resolved Notifications
Enable Schedule Compliance Check (unchecked by default)
Configure:
Inspection Type
Assigned To
Schedule To (Today, Business Days, Calendar Days, or Will Call)
Click Save
System Behavior:
Compliance checks generate automatically on qualifying system status events
Previously scheduled checks cancel when a new check is created, unless In Progress or Completed
Rejected submissions cancel all scheduled checks except In Progress or Completed
Location changes cancel and recreate eligible inspections at the new location
Use Case - When a system status changes, the platform automatically creates the appropriate compliance check for that specific system. If a reinspection is required or the submission is rejected, outdated scheduled inspections are canceled and replaced as needed. If the system moves to a new location, inspections are automatically recreated to ensure accurate tracking and assignment.
2. ITM – Location Management
What - AHJ users can now edit location details for new Business Portal submissions and reassign ITM submissions to a different existing AHJ-owned location. This enhancement allows corrections to business name and address during the review process, supports moving ITMs and associated systems when in Approved or Pending status, automatically cancels and recreates scheduled inspections at the new location, and intelligently manages related contacts while preventing duplicate records. Reassignment is blocked if a compliance check is In Progress or Completed, with clear messaging provided.
Why - This update reduces data entry errors, prevents unnecessary rejections, and streamlines the review process. It also ensures ITM records, systems, inspections, and contacts remain accurate and properly aligned to the correct location without requiring manual cleanup.
How
Edit New Location Information:
Navigate to AHJ > ITM Reports and filter by Review Needed
Select Review Place and click the edit icon
Update Business Name and/or use Address Line 1 lookup (fields auto-fill but remain editable)
Click Save, then select Verify to approve or Not Approved to reject
Note: Editing is locked after approval or rejection
Reassign an ITM to a Different Location:
Navigate to AHJ > ITM Reports > View ITM (status must be Approved or Pending)
Click Associate Different Address
Search and select an existing AHJ-owned location
Click Apply
System automatically updates ITM and systems, cancels and recreates eligible inspections, and moves contacts with duplicate checks
Reassignment is blocked if a compliance check is In Progress or Completed
Use Case - During review, a submitted location contains a minor address error. Instead of rejecting the submission, the reviewer corrects the information and approves it. In another scenario, an ITM is submitted under the wrong location but has already been approved. The user reassigns it to the correct address, and the system automatically updates associated systems, inspections, and contacts—maintaining accurate records without disruption.
