Purpose Statement
This article demonstrates how Authority Having Jurisdiction (AHJ) users can reopen a previously approved ITM submission in the First Due Business Portal and update its status to Rejected or Approved.
Background Information
ITM Reports allow AHJ users to review submitted Inspection, Testing, and Maintenance (ITM) reports. If a report was previously approved but requires a status change, the report can be reopened.
Reopening an approved ITM submission temporarily returns the submission to Pending status. The AHJ can then review the submission and either approve it again or reject it.
Required Permissions
Users must have access to ITM > ITM Reports and the appropriate permissions to review and update ITM submissions. Contact your First Due administrator if the Reopen, Reject, or Approve options are unavailable.

Step-by-Step Guide
1. Navigate to ITM Reports
Navigate to ITM > ITM Reports.
2. Filter for Approved ITM Submissions Using Saved Views
Because the Filter option is not available in the side area, use Saved Views to access the filtering options.
- Open Saved Views and access the filter options.
- Set the AHJ Status filter to Approved.
- Click Apply Filters.
The ITM Reports list will update to display submissions with an Approved AHJ status.
3. Open the ITM Submission
Locate the previously approved ITM submission you want to update.
Click the eye icon to open the submission.
4. Reopen the Submission
Click Reopen.
5. Select a New Status
Reopening a previously approved ITM submission temporarily changes its status back to Pending.
After reviewing the submission, click Reject or Approve to update its status.
6. Reject the Submission
For this example, click Reject.
The rejection modal opens. Both the Reject Reason and Rejection Reason/Comment fields are required.
When information has been added, click Reject and Submit.
7. Verify the Updated Status
Confirm that the ITM submission now displays a status of Rejected and that the Rejection Reason is shown correctly.
Best Practices
- Verify that you have selected the correct ITM submission before reopening it.
- Use Saved Views to access filtering options when filters are not available in the side area.
- Review the report before selecting a new status.
- Select the rejection reason that most accurately describes why the submission is being rejected.
- Enter clear and specific rejection comments so the submitting party understands what needs to be addressed.
- Remember that reopening an approved submission temporarily returns it to Pending status until it is approved or rejected again.

Why can't I find the previously approved ITM submission?
Use Saved Views to access the filtering options, verify that AHJ Status is set to Approved, and apply the filters. Review any additional active filters that could prevent the submission from appearing.
Why don't I see the Filter option in the side area?
The filtering option used for this workflow is accessed through Saved Views rather than the side area.
What happens when I click Reopen?
The previously approved ITM submission temporarily returns to Pending status. You can then select Reject or Approve.
Why can't I submit the rejection?
Verify that you have selected a Reject Reason Code and entered the required rejection comment. Both fields are required.
Can I approve the submission again after reopening it?
Yes. After reopening the submission, the available workflow allows you to select Reject or Approve.
Why don't I see the Reopen, Reject, or Approve option?
Your user account may not have the appropriate access to perform the action. Contact your First Due administrator to verify your access and permissions.
