Purpose Statement
The Delete Completed Inspection feature allows authorized users to remove completed fire inspections from active use without permanently destroying the record. When a completed inspection is deleted, it is archived rather than fully removed, which supports data management needs while preserving the ability to recover the inspection later if necessary.
Background Information
This feature supports fire prevention teams that need to manage completed inspection records after the inspection workflow is finished. Common use cases include correcting duplicate records, cleaning up inspections created in error, or removing outdated completed inspections that should no longer appear in operational lists and reports.
Unlike standard deletion for scheduled or in-progress inspections, deleting a completed inspection follows an archival process. This helps maintain stronger audit controls and supports agencies that need to balance operational flexibility with record retention considerations.
Completed inspections can only be deleted one at a time. Bulk delete is not available for completed inspections.

- Confirm the user has the Fire Inspection - Delete Completed Inspection permission enabled.
- Navigate to My Inspections or the Inspections List.

- Select the Delete action for that inspection.
Review associated record restrictions
- If the inspection has any associated re-inspections, permits, or invoices, the inspection cannot be deleted.
- Review the error message shown by the system to identify which associated item is preventing deletion.
- Delete or unlink the associated re-inspection, permit, or invoice before attempting to delete the completed inspection again.
Confirm and complete the deletion
- If there are no associated items, the system displays a confirmation modal.
- Enter a deletion reason. This field is required.
- Select Delete to complete the action.
Understand the result
- After deletion, the completed inspection is archived.
- Archived completed inspections no longer appear in lists or reports.
Recover an archived completed inspection
- To recover a deleted completed inspection, contact your Client Success Manager.
- Deleted re-inspections cannot be recovered.
Best Practices
- Enter a clear, specific deletion reason every time. This supports internal accountability and audit history.
- Review the inspection for linked re-inspections, permits, and invoices before starting the deletion process.
- Use deletion only when editing or correcting the existing inspection is not the better option.
- Remember that completed inspections must be deleted individually. Plan accordingly when reviewing large numbers of records.
- Coordinate with leadership or administrative staff before deleting records that may affect compliance tracking or historical reporting.
- Contact your Client Success Manager promptly if a completed inspection needs to be recovered.
