Purpose
The purpose of this article is to explain how to create and manage medications and medication forms within the Medications Setup area. Properly configuring medications and their forms helps ensure accurate inventory tracking, controlled substance reporting, and consistent medication management throughout the Medications module.
Background Information
The Medications Setup area displays the medications and forms currently configured for your department. Each medication must have at least one Form, which defines how the medication is packaged, dosed, and tracked.
Administrators can:
- Add medications from the available medication library.
- Add multiple forms to an existing medication.
- Configure form, dose, concentration, and volume information.
- Select a default form when multiple forms exist.
- Assign a controlled substance (CS) schedule for tracking purposes.
- Require serial numbers and configure medication-specific serial numbering.
- Activate, deactivate, and delete medication forms.
Before adding a medication, verify that it does not already exist in the medication list. If it already exists, edit the existing medication and add the new form rather than creating a duplicate.
If your department carries a medication that is not available in the Medication Name list, contact your Client Success Manager or submit a Support ticket to request that the medication be added.
Required Permissions
To add or manage medications, users must have:
- Medication Setup - Active Form — Allow
Users without the appropriate setup permission will not be able to add or modify medications and their forms.

Step-by-Step Guide
1. Navigate to Medications Setup
- From the Medications module, select the First Due logo in the upper-left corner.
- Select Setup.
- From Setup, select Medications.
The page displays the medication names and forms currently configured in your system.
2. Check for an Existing Medication
Before adding a medication, review or search the medication list to confirm that the medication does not already exist.
If the medication already exists and you only need to add another form:
- Locate the medication.
- Select the Edit (pencil) icon.
- Select Add Form.
- Configure the new form as described below.
3. Add a New Medication
If the medication is not already configured, select Add Medication.
The New Medication window opens.
4. Select the Medication Name
Select the appropriate medication from the Medication Name list. You can scroll through the available medications or begin typing to search for a specific medication.
If the medication your department needs is not available, contact your Client Success Manager or submit a Support ticket to request that the medication be added.
5. Configure the Controlled Substance Schedule (If Applicable)
If the medication is a controlled substance, select the appropriate CS Schedule.
The CS Schedule is used for tracking within medication log reports. Selecting a CS Schedule does not determine what users see when performing medication counts, working with sealed medkits, or adding medications to a controlled substance kit.
6. Configure Serial Number Requirements (Optional)
Enable Require Serial Number if individual units of the medication should be serial-number tracked.
When enabled, the following fields become available:
- Medication Short Code
- Last Serial Number
The Last Serial Number field supports up to 19 digits.
Warning: Serial Number Configuration
If your department uses the Generate Global Serial Numbers setting, you do not need to configure medication-specific serial number values. See the Configuring Medications Settings article to learn more about the Generate Global Serial Numbers setting and how global serial numbering works when specific serial numbers are not configured for individual medications.
7. Add a Medication Form
Select Add Form.
A medication must have at least one form before a default form can be selected.
8. Select the Form Type
Use the Form dropdown to select the appropriate packaging or delivery form.
Available options may include forms such as:
- Vial
- Bottle
- Prefilled syringe
- Bag
Select the option that most accurately represents how your department receives and stocks the medication.
9. Configure the Dose
Enter the total Dose contained within the form, and then select the appropriate Dose Unit.
Select the units that accurately represent the medication being configured.
10. Configure the Concentration and Volume
Enter the applicable concentration/volume value for the medication and select the appropriate Volume Unit.
For example, a medication may be configured with a dose measured in milligrams and a volume measured in milliliters.
11. Save the Form
After completing the form information, select Save.
The form is added to the medication. If this is the first and only form, it automatically populates as the Default Form.
12. Create the Medication
Review the medication and form configuration, and then select Create.
The medication is added to the configured medications list.
13. Add Forms to an Existing Medication
To add another form to an existing medication:
- Locate the medication in the medication list.
- Select the Edit (pencil) icon.
- Select Add Form.
- Configure the form information.
- Select Save.
- Select Update to save the medication changes.
14. Change the Default Form
When a medication has multiple forms, you can select which form should be used as the default.
- Locate the medication.
- Select the Edit (pencil) icon.
- Select the desired option from Default Form.
- Select Update to save the change.
15. Deactivate a Medication Form
Forms that are no longer needed can be deactivated.
Locate the form and use the applicable action to deactivate it. Deactivated forms remain associated with the medication but are no longer active for normal use.
A deactivated form can be reactivated if it needs to be used again.
16. Delete Medications and Forms
Medications and forms can be selected individually or in bulk for deletion.
When deleting, the system displays a confirmation indicating that deletion is not reversible and associated records will be removed.
The system will not allow a medication form to be deleted when that form is currently in use, such as when medication is stocked in:
- Med Kits
- Med Supply inventory
Best Practices
- Search existing medications before creating a new one to prevent duplicate medication configurations.
- Add new packaging, dosage, or delivery forms to the existing medication whenever applicable rather than creating a duplicate medication.
- Configure dose, volume, and units to accurately reflect how the medication is stocked.
- Verify the appropriate CS Schedule when configuring controlled substances.
- Confirm the correct Default Form after adding multiple forms to a medication.
- Consider deactivating forms that are no longer used instead of permanently deleting them.
- Review serial number settings before configuring medication-specific serial numbering, especially if your department uses global serial number generation.
- Periodically review medication configurations and deactivate outdated or unused forms.
- Confirm medications and forms are configured correctly before stocking them into Medkits or Med Supply inventory.
Troubleshooting & FAQs
The medication I need is not available in the Medication Name list.
Contact your Client Success Manager or submit a Support ticket to request that the medication be added to the available medication library.
I need to add another form of a medication that already exists. Should I create another medication?
No. Locate the existing medication, select the Edit (pencil) icon, and add the additional form to that medication.
Why can't I select a default form when creating a medication?
A form must first be added and saved. Once the first form is created, it becomes available as the default form.
Why can't I delete a medication form?
The system prevents deletion when the form is currently in use, including medication stocked in Medkits or Med Supply inventory. Resolve the applicable inventory dependencies or deactivate the form instead.
Can I delete multiple medications or forms at once?
Yes. Multiple records can be selected and deleted in bulk. Forms that are currently active or in use may prevent the applicable medication from being deleted.
Does assigning a CS Schedule change how the medication works in counts or controlled substance kits?
No. The CS Schedule is used for tracking within medication log reports. It does not determine what users see when completing counts, working with sealed medkits, or adding medications to controlled substance kits.
Do I need to enter medication-specific serial number information?
Not necessarily. If your department has Generate Global Serial Numbers enabled, medication-specific serial number values can be left blank. See the Configuring Medications Settings article for additional information about global serial number generation.
How do I change the default medication form?
Edit the medication, select the desired form from Default Form, and select Update to save the change.
