Purpose Statement
Medication Signature Settings allow agencies to configure validation requirements users must complete when signing and finishing medication events. Signature requirements can be configured for both Controlled Substances and Non-Controlled Substances, allowing agencies to determine who must validate an event and how that validation is captured.
Agencies can configure signature and PIN requirements, allow saved profile signatures, require up to four users, and restrict eligible users based on rank or qualifier.
Background Information
Medication events may require one or more users to validate the event before it is completed. Within the Medications module, administrators can configure separate signature requirements for:
- Controlled Substances
- Non-Controlled Substances
Signature settings determine:
- Whether a signature or Signature + PIN is required.
- Whether users can fill their signature from their profile.
- How many users can participate in the signature process.
- Which users are required to complete validation.
- Whether eligible users are restricted by rank or qualifier.
For Non-Controlled Substances, agencies can also configure the validation method as None, allowing the event to be completed without collecting signatures.
Important Note:
The Apply Master to All Events option is currently enabled by default and cannot be changed. The configured signature requirements apply to all applicable medication events.
Required Permissions
Users configuring Medication Signature Settings must have access to the Medications module and its Setup area.
Additional permissions may be necessary to manage the ranks available through Admin → Agency Setup.

Step-by-Step Guide
1. Navigate to Medication Signature Settings
- Navigate to the Medications module.
- Select the First Due logo in the upper-left corner and select Setup.
- From Setup, select Signature.
2. Review Apply Master to All Events
At the top of the Signature settings, locate Apply Master to All Events.
This setting is currently enabled and cannot be changed. The signature configuration therefore applies to all applicable medication events.
Configure the Controlled Substances and Non-Controlled Substances sections according to your agency's documentation requirements.
3. Select the Controlled Substance Validation Method
Under Controlled Substances, select the appropriate Validation Method:
- Signature Only — Requires the user to provide a signature.
- Signature and PIN — Requires both a signature and PIN.
PINs are configured within individual user profiles.
If Signature and PIN is selected and a user does not have a PIN configured, the user will be required to enter their First Due password instead.
4. Configure Fill Signature from Profile
Determine whether users can use a signature saved to their First Due profile.
When Fill Signature from Profile is enabled, users can fill their saved signature rather than manually signing each medication event.
When this option is not enabled, users must manually provide their signature using the available input method on their device, such as a finger, stylus, or mouse.
5. Configure Required Users
Configure the users who must participate in the signature process.
- Up to four users can be configured for an event.
- User 1 cannot be deleted.
- Additional users can be added or deleted as needed.
- Each added user can be designated as Required or optional.
For example, if Users 1 and 2 are required while Users 3 and 4 are optional, the event can be submitted after Users 1 and 2 complete their required validation. Users 3 and 4 do not need to provide information for the event to be completed.
6. Restrict Users by Rank
For each configured user, select the Rank field to restrict which personnel are eligible to complete that signature requirement.
Ranks are configured through Admin → Agency Setup.
For example, an agency could allow a broad range of personnel to satisfy the User 1 requirement while restricting User 2 to a supervisory rank, such as Captain.
If no ranks or qualifiers are selected, the user selection list is not restricted by those criteria and will display the agency's personnel list.
7. Restrict Users by Qualifier
If applicable, use the Qualifier field to further restrict which personnel can satisfy a user requirement.
Qualifiers originate from the Scheduling module.
If your agency does not use or have Scheduling qualifiers configured, no qualifiers will be available in this list. Signature requirements can still be filtered using Rank.
8. Configure Non-Controlled Substance Requirements
Under Non-Controlled Substances, configure the signature requirements independently or select Copy CS Settings to copy the Controlled Substance configuration.
Copying the Controlled Substance settings transfers the configured signature requirements to the Non-Controlled Substance section, where they can then be adjusted as needed.
9. Select the Non-Controlled Substance Validation Method
For Non-Controlled Substances, select one of the available validation methods:
- None — No signature validation is required. Selecting Sign and Finish completes the event and returns the user to the appropriate Medications location.
- Signature Only — Requires a signature.
- Signature and PIN — Requires both a signature and PIN. If the user does not have a PIN configured, their First Due password is required.
You can also determine whether users can Fill Signature from Profile and configure up to four users with applicable rank and qualifier restrictions.
10. Configure Required Users
Configure the users who must participate in the signature process.
- Up to four users can be configured for an event.
- User 1 cannot be deleted.
- Additional users can be added or deleted as needed.
- Each added user can be designated as Required or optional.
11. Save the Configuration
After configuring the Controlled and Non-Controlled Substance signature requirements, select Save.
The configured requirements will be used during the applicable medication event signature process.
12. Test the Signature Workflow
After saving the configuration, test both Controlled and Non-Controlled Substance workflows.
- Start a Controlled Substance medication event.
- Complete the event and select Sign and Finish.
- Complete the configured signature process and verify that the expected users, signatures, PINs, ranks, and qualifiers are enforced.
- Repeat the process with a Non-Controlled Substance event.
- Confirm that both workflows match your agency's documentation requirements.
Best Practices
- Configure Controlled and Non-Controlled Substance requirements according to your agency's medication documentation policies.
- Use Rank restrictions when a specific position or level of personnel must validate an event.
- Use Qualifier restrictions when validation should be limited based on Scheduling qualifications.
- Mark only the users who must participate in every applicable event as Required.
- Use Copy CS Settings when Controlled and Non-Controlled Substance workflows should begin with the same configuration.
- Consider whether allowing Fill Signature from Profile meets your agency's documentation requirements before enabling it.
- Remember that users without a configured PIN will use their First Due password when Signature and PIN validation is required.
- Test both Controlled and Non-Controlled Substance events after making configuration changes.
- Verify the complete Sign and Finish experience rather than relying solely on the Setup screen to confirm the configuration behaves as intended.
Troubleshooting & FAQs
Why can't I change Apply Master to All Events?
The Apply Master to All Events setting is currently enabled and cannot be changed. The signature configuration applies to all applicable medication events.
How many users can be configured for a medication event?
Up to four users can be configured. User 1 cannot be deleted, while additional users can be added or removed.
Do all configured users have to sign the medication event?
No. Additional users can be configured as required or optional. Only users marked Required must complete their validation before the event can be submitted.
Why is a user being asked for their password instead of a PIN?
When Signature and PIN validation is configured, users without a PIN saved to their profile must enter their First Due password.
Why don't I see any qualifiers to select?
Qualifiers originate from the Scheduling module. If your agency does not use or have Scheduling qualifiers available, the Qualifier list will not contain options. You can still restrict eligible users by rank.
What happens if I leave Rank and Qualifier blank?
Leaving both restrictions blank allows the personnel selection to remain unrestricted by rank or qualifier, displaying the agency's personnel list when selecting the user who will complete the signature or PIN requirement.
Can Non-Controlled Substances be completed without a signature?
Yes. Non-Controlled Substances include a None validation method. When configured as None, selecting Sign and Finish completes the event without requiring signature validation.
Can I use the same settings for Controlled and Non-Controlled Substances?
Yes. Select Copy CS Settings under the Non-Controlled Substance configuration to copy the Controlled Substance settings. You can then modify the copied configuration if necessary.
Why can't I delete User 1?
User 1 is the base user entry for the signature configuration and cannot be deleted. Additional user entries can be added or removed as needed.
