This feature streamlines the process of managing event participation by allowing users to submit signup requests that event creators can approve or deny based on department policies and event capacity requirements.

Event signup capability is designed to facilitate organized participation in department training sessions, meetings, special events, and other activities. When an event is configured as "signup eligible" by the event creator, authorized users can submit participation requests through the system. This automated process replaces manual signup methods and provides event organizers with better visibility into participation requests and approval workflows.

The signup functionality integrates with the department's notification system, automatically alerting event creators when users request to participate. This ensures timely processing of signup requests and helps maintain accurate attendance records for compliance and planning purposes.


Required Permissions

Based on the system permissions structure, users need the following permissions to sign up for events:

  • Events > General > Events
  • Events > General > View Activities

Step-by-Step Guide

Accessing Events for Signup

  1. Navigate to the Events Module
    • From the main navigation menu, select "Events and Activities"
    • Choose "Activities Log" from the module options



Signing Up for an Event

  1. Select the Target Event & Review Event Information
    1. Click on the desired event from the activities list
    2. A popup window will appear displaying event details and available actions
    3. In the popup, you'll see multiple action icons:
      1. Info icon (i): View detailed event information
      2. Trash can icon: Delete event (if permissions allow)
      3. X icon: Close the popup window
    4. Review event details to confirm this is the event you want to join




  2. Submit Signup Request
    1. Click the "Sign Up" button in the event popup
    2. A confirmation modal will appear asking you to confirm your signup request
    3. Click "Confirm" to submit your participation request




  3. Await Approval
    1. The system automatically sends a notification to the event creator
    2. The event creator will review and either accept or deny your request
    3. You will receive notification of the approval decision


Managing Your Signup Status

  1. Canceling Your Signup (If Needed)
    • Select the same event again from the activities log
    • Click "Cancel Signup" in the event popup
    • Optionally enter a reason for cancellation in the provided field
    • Click "Cancel Signup" to confirm the cancellation

If your original signup request is denied, you cannot resubmit another request for that same event.

Q: I submitted a signup request but haven't heard back. How long should I wait for approval?
A: Approval timing depends on the event creator's availability and department policies. Most requests are processed within 24-48 hours. If you haven't received notification after this timeframe, check your notification settings and contact the event creator directly for an update.

Q: My signup request was denied. Can I find out why or request reconsideration?
A: The system doesn't provide denial reasons automatically. Contact the event creator directly to understand the reason for denial. Note that denied users cannot resubmit requests for the same event through the system - any reconsideration would need to be handled directly with the event creator.
