Purpose Statement
Custom List Views within the Medications module allow users to create personalized, filtered, and shareable views of medication and Med Kit data.
Custom List Views can be created on both the Med Kit List and Med Log pages. They allow departments to control which information is displayed, organize records using sorting and filtering, and create standardized views for specific operational or reporting needs.

Within the Medications module, Custom List Views are available on:
- Med Kit List
- Med Log
The available columns, filters, and criteria vary depending on which page you are configuring. For example, the Med Kit List provides fields related to Med Kit configuration and status, while the Med Log provides fields related to medication events and activity.
Custom List Views allow users to:
- Select which columns are displayed
- Arrange columns from left to right
- Pin columns to prevent users from temporarily reorganizing them
- Apply primary and secondary sorting
- Add available filters
- Define criteria to limit the records displayed
- Share views with everyone or selected users, ranks, and roles
- Control whether users can edit a shared view
- Configure pagination
- Favorite frequently used views
- Pin a view to automatically display when accessing that page
- Clone an existing view and modify its configuration
The View dropdown may contain the following folders:
- Favorites – Views you have marked with the Star icon.
- Predefined Views – Default views provided by First Due.
- Custom Views – Views you have created.
- Shared With Me – Custom views created by other users and shared with you.
Custom List Views can be useful for creating focused views for medication activity, controlled or non-controlled substances, Med Kit status, operational reviews, and other department-specific workflows.
Required Permissions
Access to Custom List View functionality is permissions-based.
Depending on the actions a user needs to perform, they must have the appropriate permissions to:
- Read Custom List Views
- Create Custom List Views
- Update Custom List Views
- Delete Custom List Views, if applicable
A user's permissions also determine whether editing options are available for Custom List Views.

Step-by-Step Guide
1. Navigate to the Medications Module
- Navigate to Medications.
Select the page where you want to create the Custom List View:
- Med Kit List
- Med Log
Custom List Views are configured independently for each page. The available columns, filters, and criteria will vary based on the selected page.
2. Review Available Custom List Views
Open the View dropdown at the top of the page.
Depending on your existing configuration, views may be organized into:
- Favorites
- Predefined Views
- Custom Views
- Shared With Me
Select the Star icon to add a view to Favorites.
Select the Pin icon to pin a view. A pinned view becomes the view displayed automatically whenever you access that page. A Pin icon next to the View dropdown indicates that a view is currently pinned.
3. Create or Clone a Custom View
To create a view from scratch:
- Select the ellipsis (⋮).
- Select Add View.
Alternatively, open an existing view and select Clone to copy its current configuration. You can then modify the cloned view's settings, such as its filters or criteria, without changing the original view.
The Edit (Pencil) option is permissions-based and is available when you have permission to edit the selected Custom List View.
4. Name the Custom View
Enter a descriptive name for the Custom List View.
The name appears in the View dropdown, so it should clearly communicate the purpose of the view.
For example:
- Non-Controlled Substance Events
- Controlled Substance Kits
- Out-of-Service Med Kits
5. Select Display Columns
Under Available Columns, select the columns you want to display and use the arrow to move them to Selected Columns.
Available columns depend on the page being configured.
For example, Med Log column options include:
- Date & Time
- User
- Event
- Med Kit
- Description
Med Kit List column options include:
- Kit Name
- Kit ID
- Manufacturer
- Model
- In-Service Date
- Location
- Kit Type
- Status
- Out-of-Service (OOS) Reason
- Archived status
6. Organize and Lock Column Positions (Optional)
After adding columns, arrange them in the order you want them displayed from left to right.
Use the drag handle next to a column to reposition it.
You can also select the Pin icon for a column to lock its position. This prevents someone viewing the list from temporarily reorganizing that pinned column.
7. Configure Default Sorting
Select a field to establish the default sort order for the view.
Select either:
- Ascending
- Descending
After configuring the initial sort, use Then By to apply an additional level of sorting when needed.
This determines the default order whenever the view is opened.
8. Add Filters
Begin typing in the filter field to locate and add available filters.
Available filters depend on whether you are creating the view for the Med Kit List or Med Log.
Continue searching for and adding the filters needed for the view.

9. Configure List View Criteria (Optional but Recommended)
Criteria are optional.
If no criteria are configured, the Custom List View can display all applicable Med Kits or Med Log events using your selected column, filter, and sorting configuration.
To limit the records displayed:
- Select a Field.
- Select the appropriate Operator.
- Select or enter the applicable value or values.
Some criteria support selecting multiple values.
Important Note:
Operator values include the following (may vary based on Field selection):
In - multi-select multiple Values to include in List View.
Not In - multi-select multiple Values to exclude from List View.
Is Null - selected Value field is blank
Is Not Null - selected Value field is not blank
10. Add Additional Criteria (Optional)
Select Add Criteria to add another condition.
When multiple criteria are configured, choose the appropriate AND/OR association:
- AND – Records must meet both conditions.
- OR – Records can meet either condition.
Carefully review this selection because it can significantly change which records appear in the view.
For example, using AND between selected Med Kits and selected event types limits the results to the selected Med Kits that also have the selected events.
Using OR broadens the results because records can meet either condition.
11. Configure Sharing
Choose who should have access to the Custom List View:
- Only Me
- Everyone
- Selected Users
When using Selected Users, you can select recipients based on:
- Users
- Ranks
- Roles
Move the desired selections to the selected list and select Add.
12. Allow Editing (Optional)
When sharing a Custom List View, determine whether the recipients should be allowed to modify it.
Enable Allow other users to apply changes if users who have access to the view should also be able to edit it.
Leave this option disabled if users should only be able to access the shared view without modifying its configuration.
13. Set Default Page Size
Select the desired pagination setting to determine how many records are displayed at one time.
Available options include:
- 20
- 50
- 100
Consider the amount of data typically returned by the view when selecting the appropriate page size.
14. Save the View
After completing the configuration, select Save.
The saved view populates using the columns, sorting, filters, criteria, sharing, and pagination settings you configured.
The new view is also available under Custom Views in the View dropdown.
15. Edit or Clone an Existing Custom View (Optional)
To modify a Custom List View that you have permission to edit:
- Open the applicable view.
- Select the ellipsis (⋮).
- Select Edit.
- Make the necessary changes and save the view.
To use an existing view as the starting point for a new configuration, select Clone instead. The cloned configuration can then be modified without changing the original view.
Best Practices
- Create Custom List Views on the appropriate page based on whether you need to review Med Kits or Med Log events.
- Use descriptive names that clearly communicate what users should expect to see.
- Include only the columns necessary for the purpose of the view.
- Arrange columns in a logical left-to-right order based on how users review the information.
- Pin columns when their position should remain consistent.
- Use primary and secondary sorting to make large lists easier to review.
- Add criteria when the view should automatically display a specific subset of records.
- Carefully evaluate AND versus OR when combining multiple criteria.

Where can I create Custom List Views in the Medications module?

Why are different columns or filters available on the Med Kit List and Med Log?

Why don't I see the option to create or edit a Custom List View?

Do I have to add criteria to a Custom List View?
No. Criteria are optional. Without criteria, the view can display all applicable records using your configured columns, filters, sorting, and other settings.
What is the difference between AND and OR criteria?
AND requires records to meet both conditions. OR allows records that meet either condition to appear. Incorrectly using OR can return substantially more records than intended.
Why can't I edit a view that someone shared with me?
The person who created the view determines whether other users can apply changes. If editing is disabled, you can access the shared view but cannot modify its configuration. You can clone the view if you need your own version.
What is the difference between favoriting and pinning a view?
Favoriting adds the view to your Favorites folder for quicker access. Pinning makes that view automatically display when you access the applicable Medications page.
Can I create a new view based on an existing one?
Yes. Select the existing view and use Clone to copy its configuration. You can then modify the cloned view's criteria, filters, or other settings.
Why is my Custom List View taking longer to load?
Views containing larger amounts of data may require additional time to populate.
