Purpose Statement
Saved Views allow users to customize how information is displayed in the First Due Training Module. Users can select filters, establish criteria, organize columns, configure sharing options, and save the resulting layout for future use.
This article explains how to create and manage Saved Views in the Training Plans and Completed Training list views.
Note: As the Training Module continues to adopt the updated First Due user interface, the appearance and functionality of Saved Views may change.
Background Information
Saved Views help users quickly access training records that meet specific conditions without rebuilding filters each time they visit a list.
For example, a Training Administrator could create a Saved View that:
- Displays only incomplete classes.
- Shows selected columns in a preferred order.
- Uses a specific number of records per page.
- Is shared with other users.
- Opens automatically when the user visits the list.
The Saved View process described in this article applies to:
- Training Plans List View
- Completed Training List View
Required Permissions
Users must have access to the Training Module and the applicable Training Plans or Completed Training list.
The ability to create, share, edit, or delete Saved Views may depend on the user’s assigned role and permissions. Because a specific Saved View permission could not be confirmed in the available First Due permissions documentation, contact your agency’s First Due Administrator when the Saved View controls are unavailable.

Step-by-Step Guide
Open a Training List View
- Navigate to the Training Module.
- Open one of the supported list views:
- Training Plans
- Completed Training
Add a New View
- Select the three-dot menu in the upper-left corner of the page.
- Select + Add View.
Name the Saved View
- Enter a name for the Saved View.
A name is required before the view can be saved. Use a descriptive name that clearly identifies the records displayed by the view.
Examples include:
- Incomplete Training
- Current-Year Completed Training
- Officer Training Plans
- Monthly EMS Training
Select Filter Fields
- Open the field selection list.
- Select each field that users should be able to use as a filter.
The field list supports multiple selections.
Important: When no fields are selected, filtering options will not be available in the Saved View.
Add Criteria
Criteria can be used to limit the records displayed in the Saved View.
For example, to display only incomplete classes:
- Select Status as the field.
- Select Equal as the operator.
- Select Incomplete as the value.
Criteria are optional. When no criteria are configured, the view may display all records available to the user.
Select a Criteria Operator
The available operators may vary based on the selected field.
- Equal: Displays records where the selected field matches one specified value.
- Example: Status Equal Incomplete
- Not Equal: Displays records where the selected field does not match the specified value.
- Example: Status Not Equal Complete
- In: Displays records matching any of the selected values. The value list supports multiple selections.
- Example: Status In Incomplete, In Progress
- Not In: Excludes records matching any of the selected values. The value list supports multiple selections.
- Example: Status Not In Complete, Canceled
- Null: Displays records where the selected field does not contain a value. No value selection is required.
- Not Null: Displays records where the selected field contains a value. No value selection is required.
Add Additional Criteria
- Select + Add Criteria.
- Select the field, operator, and value for the additional condition.
- Choose an AND or OR relationship between the criteria.
Use AND when both conditions must be true for a record to appear.
Example:
- Status equals Incomplete
- AND
- Topic equals EMS
Use OR when either condition can be true for a record to appear.
Example:
- Status equals Incomplete
- OR
- Topic equals Engine Ops
To remove a criterion, select the trash icon beside it.
Configure Sharing
- Below the criteria settings, select who can access the Saved View.
Available sharing options may include:
- Only the view creator
- Everyone
- Selected users
When sharing the view with Everyone or Selected Users, an option may be available to allow those users to edit the view.
Only grant editing access to users who should be able to change the Saved View’s filters, criteria, columns, or other settings.
Select the Default Pagination
- At the bottom of the Saved View settings, select the default number of records that should appear on each page.
Choose a pagination value that balances the amount of visible information with page performance and readability.
Configure the Columns
- Select Columns at the top of the page.
- A panel opens on the right side of the page.
- Select Add to display the available columns.
- Select each column that should appear in the Saved View.
- Select Add Columns.
Organize the Columns
Use the controls in the Columns panel to customize how information is displayed.
Depending on the available column controls, users can:
- Reorder a column by selecting its handle and dragging it to the desired position.
- Remove a column from the view.
- Pin a column. - this action will make the selected column be at the top position
- Apply sorting to a column.
Arrange the most frequently referenced information near the beginning of the list.
Save the View
- Review the Saved View settings.
- Select the save icon at the top of the page.
After the view is saved, the user is taken to the newly created Saved View. The view’s name appears at the top of the list.
Favorite or Pin the View
- Open the Saved View drop-down menu.
- Select the appropriate action:
- Select Favorite to add the view to the Favorite View folder for easier access.
- Select Pin to make the view the default view that opens when visiting the page.
Manage an Existing Saved View
- While viewing a Saved View, select the three-dot menu to access the available management options.
These options may include:
- Edit View
- Add View
- Clone View
- Delete View
Use Clone View when creating a similar view without changing the original configuration.
Create a Shareable Link
- Open the Saved View’s available actions.
- Select the option to create a shareable link.
The link is copied to the user’s clipboard and can be provided to another user.
Users opening the link must still have the appropriate First Due access and permissions to view the underlying Training Module data.
Best Practices
- Give each Saved View a clear and specific name.
- Select filter fields before saving the view so users can refine the displayed records.
- Use AND and OR carefully when combining criteria.
- Confirm the results before sharing the view with other users.
- Place frequently referenced columns near the beginning of the list.
- Remove unnecessary columns to make the view easier to read.
- Use Clone View instead of modifying a shared view when only one user needs a different configuration.
- Limit editing access to users responsible for maintaining the view.
- Pin only the view that should open by default.
- Review shared views periodically to confirm that the criteria remain relevant.
Troubleshooting & FAQs
Why are filtering options unavailable in my Saved View?
Confirm that at least one field was selected in the filter field list. When no fields are selected, the Saved View will not provide filtering options.
Why do I not see the option to add a Saved View?
Confirm that you have access to the applicable Training Module list. Your assigned role or permissions may restrict the ability to create or manage Saved Views. Contact your First Due Administrator for assistance.
Why are no records appearing in the Saved View?
Review each criterion and confirm that matching records exist. When criteria use an AND relationship, every condition must be met before a record will appear.
What is the difference between AND and OR?
AND requires every connected condition to be true. OR requires only one of the connected conditions to be true.
Why is a value selection unavailable for Null or Not Null?
The Null and Not Null operators only determine whether a field contains a value. They do not require a separate value selection.
Can more than one value be selected in the criteria?
Multiple values can be selected when using the In or Not In operators. The Equal and Not Equal operators allow only one value.
How do I remove a criterion?
Select the trash icon beside the criterion you want to remove.
What is the difference between favoriting and pinning a view?
Favoriting places the view in the Favorite View folder. Pinning makes the view the default view that opens when visiting the page.
Can I create a similar view without rebuilding it?
Yes. Open the three-dot menu and select Clone View, then update the cloned view as needed.
Can anyone use a shareable Saved View link?
The link can be shared, but the recipient must have the appropriate First Due account access and permissions to view the underlying data.
Why can another user view the Saved View but not edit it?
The view may have been shared without editing access. Edit the Saved View’s sharing settings when the user should be permitted to make changes.
Will Saved Views look the same as the Training Module is updated?
The Saved View interface and available options may change as additional Training Module pages adopt the updated First Due user interface.
