Purpose Statement
The Training Templates List View allows administrators to search, filter, manage, create, deactivate, and delete Training Templates within the First Due Training Module.
Training Templates, formerly known as Courses, provide the foundation for Scheduled Training activities and can also be assigned to groups of users.
Background Information
Training Templates are used to standardize training content and streamline the process of creating recurring or commonly assigned training activities. Instead of building training details from scratch each time, administrators can use templates as the starting point for scheduled training or assigned training workflows.
From the Training Templates List View, users can manage the template library, pin templates to user dashboards, edit existing templates, deactivate templates that are no longer actively used, or delete templates when appropriate.
Required Permissions
Users should have access to the Training Module and permissions that allow them to view and manage Training Templates.
At minimum, confirm the user has permissions to:
- Access the Training Module.
- View Training Templates.
- Create Training Templates, if the user needs to add new templates.
- Edit Training Templates, if the user needs to make changes.
- Deactivate or delete Training Templates, if the user needs to remove templates from active use.
- Manage pinned templates, if the user needs to pin or unpin templates for other users.
Permission names may vary by agency configuration. Verify the exact permission labels in First Due’s user role or permissions settings before assigning access.

Step-by-Step Guide
Navigate to Training Templates
- Select the Training Module from the main navigation.
- Select Training Templates.
The Training Templates List View opens and displays the available Training Templates for the agency.
Search for a Training Template
- Locate the search option at the top of the page.
- Select the magnifying glass icon.
- Enter the name or keyword for the template you want to find.
The list will update based on the search criteria entered.
Filter the Training Templates List
- Select the Filter option at the top of the page.
- Apply the desired filter criteria.
- Review the filtered list of Training Templates.
Filtering helps narrow the list when an agency has multiple templates in the library.
Use the Actions Dropdown
- Select the Actions dropdown at the top of the page.
- Choose the desired bulk action.
For detailed instructions on pinning or unpinning templates, refer to the related article on Pinning a Template.
1. Pin or Unpin a Template
- Locate the desired template in the list.
- Under the Actions column, select the Pin or Unpin icon.
- Manage the users whose dashboards should display the pinned template.
Pinned templates allow administrators to make important templates easier for users to access from their dashboards.
2. Deactivate a Template
- Locate the desired template in the list.
- Under the Actions column, select the X icon.
- Confirm the deactivation, if prompted.
Deactivating a template removes it from the active library while keeping it available for future use if needed.
3. Edit a Template
- Locate the desired template in the list.
- Under the Actions column, select the Pencil icon.
- Make the necessary updates to the template.
- Save the changes.
Use the edit option when a template needs to be updated instead of creating a new template.
4. Delete a Template
- Locate the desired template in the list.
- Under the Actions column, select the Trash icon.
- Confirm the deletion, if prompted.
Deleting a template removes it from the Training Template library. Deleting a template does not affect historical training data because the template itself is not the recorded training activity.
Best Practices
- Deactivate templates instead of deleting them whenever possible.
- Use clear and consistent template names so users can easily search for the correct template.
- Pin frequently used templates to make them easier for users to access.
- Review templates regularly to ensure outdated or duplicate templates are deactivated.
- Avoid deleting templates unless the template is no longer needed and should not remain available for future use.
- Confirm user permissions before granting access to create, edit, deactivate, or delete templates.
Troubleshooting & FAQs
Why can’t I see Training Templates?
You may not have access to the Training Module or the required permission to view Training Templates. Contact your system administrator to review your permissions.
Why can’t I create a new Training Template?
Your role may not include permission to create or manage Training Templates. Ask an administrator to confirm your Training Module permissions.
What is the difference between deactivating and deleting a template?
Deactivating removes the template from the active library while keeping it available for future use if needed. Deleting removes the template from the library.
Will deleting a template remove historical training records?
No. Deleting a template does not affect historical training data because a template is not the recorded training activity.
When should I deactivate a template instead of deleting it?
Deactivate a template when it is no longer actively used but may be needed again in the future or should remain available for reference.
Where do I manage pinned templates?
Pinned templates are managed from the Pin or Unpin icon in the Actions column of the Training Templates List View.
