Purpose Statement
- Provide users with a clear understanding of the Single Day View on the Shift Board.
- This feature allows users to see all staffing, activities, events, and unassigned shifts for a specific day, enabling better awareness of operational coverage.
Background Information
- The Shift Board Single Day View displays scheduled personnel, apparatus assignments, activities, and events in a streamlined, date-focused layout.
- Common use cases include:
- Reviewing daily staffing before shift start.
- Viewing special events or activities impacting staffing.
- Assessing unit coverage for operational readiness.
Required Permissions
- Access Scheduling – to enter the Scheduling module.
- Access Shift Board – to view shift assignments.
- Shift Board – View Unassigned – to see the unassigned persons section of the Shift Board.
- Show Hover for Additional Details – to view details such as Qualifications, Groups, or Notes associated with the user.
- View Activities/Events on Shift Board – to see department events and scheduled activities impacting staffing for the particular day.

Step-by-Step Guide
1. Click on Shift Board.
2. Across the top, you can:
- Hide Vacancies.
- Search for a particular User, Group, Qualifier, Rank, or District.
- Flip to another view.
- View More Options.
- Print.
3. Next, you can:
- Rapidly Return to Today. When you are not viewing the current date, the Today button will turn blue, allowing you to rapidly return.
- Jump to the next date that the shift on the schedule works.
4. You can click the Calendar Icon to open up a calendar view, or click the blue arrows to jump Day by Day.
5. The Filters allow you to:
- Boards: These are pre-saved views that limit which assignments appear.
- Assignments: This allows you to choose which assignments will appear.
- Rotations: This allows you to filter down to a particular Rotation.

Important Note:
The rotation filter works by finding users with the rotational dot to the right of their name. If the assignment has zero users with the appropriate rotational dot, it will not appear. We encourage you to leave this drop-down blank.
6. The Scheduling Deputy shows you:
- Total Users: The total number of users on the Shift Board.
- Green indicates full staffing.
- Red indicates below staffing levels.
- Blue indicates above staffing levels.
- Unassigned Person: A place where users can be placed when associated with a rotation. These users are moved to fill the needs of the department, like a float company.
- Time Offs: Users here are off the schedule on a Time Off Type for the day.
- Trade: Users here are on a Shift Trade for the day.
- Off Roster: Users here are being tracked for contributions to the department that are not directly related to an assignment on the Shift Board.
7. The events tab allows you to see a Note as well as any Events that are occurring today.
8. The availability tab allows you to see who has marked themselves available, unavailable, or available based on assignment for the day.
9. The assignments' names appear down the right, with the users down the left.
Additional information regarding the User's Rotation and Work Type can be found by hovering over the individual.
- The colored bar to the left of the user indicates their work type.
- In the example, the red bar indicates the regular work type.
- The dot to the right of the user indicates that there has been no adjustment to their rotation for the day.
- This dot will disappear if any adjustment is made to a user for a singular day.
Best Practices
- Do:
- Review the Single Day View at the start of your shift to understand staffing assignments and unfilled slots.
- Check the Activities/Events section for operational impacts like training, inspections, or department events.
- Don’t:
- Ignore events impacting apparatus or station availability.
Troubleshooting & FAQs
- Q. I can’t see the unassigned persons section. Why?
A. Ensure you have Shift Board – View Unassigned permission. Contact your administrator if access is missing. - Q. Why can’t I hover to see user details?
A. The Show Hover for Additional Details permission must be enabled for your role. - Q. Events aren’t showing on my view.
A. Verify your permission for View Activities/Events on Shift Board is granted and that events are entered for that date.

- Daily Roll Call: User can log in to Single Day View to confirm their apparatus assignment before morning briefing.
- Training and Event Awareness: User checks Activities/Events and sees a scheduled EMS training that may affect unit availability during their shift.
