Shift Board: Switching a Users Shift (Rotation) Using Shift Movement

Purpose Statement

To explain how to move a user from one shift rotation to another using the Shift Board.

This process is used when removing a user from their current rotation and placing them onto a new rotation. The Shift Movement function streamlines this transition while allowing control over effective dates and existing future entries.

Background Information

Shift Movement is designed to simplify rotation changes without manually deleting and reassigning individual shift instances.

Common use cases include:

  • Permanent reassignment to a new platoon or rotation
  • Promotion or reassignment to a different assignment
  • Organizational restructuring
  • Long-term staffing adjustments

During the move process, administrators can determine whether future trades and time off requests remain intact or are removed, ensuring operational continuity and compliance with department scheduling policies.

Required Permissions

  • Scheduling – Access Scheduling
  • Scheduling – Access Shift Board
  • Scheduling – Add/edit personnel into shift board
  • Scheduling – Delete all occurrences on the shift board
  • Scheduling – Delete instance on the shift board
  • Scheduling – View Details

Step-by-Step Guide

Access the Shift Board

  • Clickthe First Due Logo
  • Click Scheduling
  • Select Shift Board

 

 

 

Open the User’s Schedule Editor

  • Locate the user who will be moved
  • Click the pencil icon next to their name

 

Click on the pencil next to a user who will be moving to another shift.

 

 

Set the Removal Date

  • Enter the date the individual will be removed from their current rotation
  • This date determines when their current schedule ends

 

Type in the date that the individual will be removed from the current schedule.

 

 

Determine Future Entry Handling

  • Choose whether future trades and time off requests will:
    • Be kept and applied to the new rotation
    • Be deleted as part of the movement

 

Determine if future trades and time offs will be kept or deleted.

 

 

Complete the Shift Movement

  • Click Shift Movement
  • Select the new:
    • Assignment
    • Rotation
  • Enter the From and Until dates for the new rotation
  • Click Save

 

 

 

Verify the Movement

  • Navigate to the start date entered for the new rotation
  • Confirm the user appears in the new assignment and rotation

 

Go to the Start Date that you placed for the individual, and you will see them in the new position.

  • Always confirm the effective date aligns with payroll and scheduling cycles.
  • Review future trades and time off before selecting whether to keep or delete them.
  • Communicate rotation changes to the affected member prior to saving.
  • Verify the new assignment and rotation settings before finalizing.

Troubleshooting & FAQs

Q: The user does not appear in the new rotation after saving.
A: Confirm the From date was entered correctly and navigate to that specific date on the Shift Board.

Q: What happens if I delete future trades and time off?
A: All future scheduled trades and time off entries tied to the previous rotation will be removed.

Q: Can I move a user retroactively?
A: The system allows you to set past dates; however, retroactive changes may impact payroll, trades, and reporting. Review carefully before saving.

Q: Will this automatically notify the user?
A: Notification behavior depends on department configuration. Consider sending a reminder or direct communication if required.
