Managing and Editing Existing Workflows within NERIS

Purpose

  1. The purpose of this article is to guide users through locating, editing, or deleting existing workflows within the Fire Incident Setup area of the First Due platform. This ensures agencies can efficiently maintain and update documentation workflows for fire reporting.

Background

  1. Workflow configurations—including Hide, Default Value, and Error Validation types—help streamline and validate report entry. Over time, agencies may need to update these workflows to reflect new policies or reporting requirements. First Due provides a centralized interface to manage existing workflows efficiently.

Step-by-Step Guide


1. Access the Workflow Management Page
  1. Navigate to Incident Documentation > Fire Incident Setup.
  2. Select the Workflows tab.


Begin by navigating to Fire Incident Setup within Incident Documentation and select Workflows.



2. Search for Existing Workflows
  1. Use the Field and/or Workflow dropdown filters to search.
  2. Select Apply to filter results.
  3. Select Reset to clear filters.


Here you are able to search for any existing workflows by field or workflow then select Apply to filter your list or Reset to clear filters.



3. Filter by Field
  1. In the Field dropdown, scroll or use the search bar to find a specific field.


When searching by Field use the dropdown and either scroll or use the search bar to begin finding the field or fields to filter.



4. Filter by Workflow Type
  1. In the Workflow dropdown, choose one or more workflow types to filter the list (e.g., Hide, Default Value, Error Validation).


When searching by Workflow using the dropdown select on any workflow or workflows to filter.



5. Apply or Reset Filters
  1. After selecting your filter criteria, click Apply to update the results.
  2. Use Reset to return to the full list.





6. Edit or Delete Workflows from the Grid
  1. In the Actions column:
    1. Click the pencil icon to edit a workflow.
    2. Click the trash can icon to delete it.


From the Actions column you are able to edit or delete any workflow.



7. Bulk Delete Workflows
  1. Use the checkboxes to select multiple workflows.
  2. Click the trash can icon to delete all selected items.


You are also able to delete workflows in bulk using the check box or boxes to select then using the Trashcan icon to delete the selected workflows.



8. Confirm Deletion
  1. A warning modal will appear to confirm deletion.
  2. Click Confirm to proceed.


When deleting a workflow or workflows a warning modal will display ensuring you wish to delete.



9. Edit a Specific Workflow
  1. Click the pencil icon next to a workflow.
  2. The Field section will auto-populate, showing the field currently assigned.


To begin editing a workflow select on the pencil icon.



10. Available Workflow Types for Editing
  1. If workflows already exist for the selected field, you may see one or more of the following:
    1. Hide
    2. Default Value
    3. Error Validation
InfoNote: Always click Save after making any changes to ensure updates are applied.





11. Hide Workflow
  1. Allows editing of the description, groups, and conditions.

Select on Hide Workflow if there is an existing workflow you are now able to edit the description and able to edit or add groups and conditions.



12. Default Value Workflow
  1. Allows editing of the description, default values, and logic conditions.

Select on Default Value Workflow if there is an existing workflow you are now able to edit the description, default value, and able to edit or add groups and conditions.



13. Error Validation Workflow
  1. Allows editing of the description, validation message, and logic conditions.

Select on Error Validation Workflow if there is an existing workflow you are now able to edit the description, validation message, and able to edit or add groups and conditions.



14. Before Creating a Workflow
  1. Before clicking + Add New, search to verify whether a workflow already exists for your target field.





15. Field Not Selectable When Adding New
  1. If a field is unavailable when using + Add New, it already has a workflow assigned.
  2. Use the search tools in the workflow grid to locate and edit it instead.





Best Practices

  1. Do: Regularly review workflows to ensure they align with current policies.
  2. Don’t: Create multiple workflow types with the same rules in a selected field - this could cause a hidden error that can't be seen during documentation.
  3. Tip: Use descriptive names and messages to help staff understand each workflow’s purpose

Troubleshooting & FAQs

Q: Why can't I add a workflow to a field?
A: The field likely already has a workflow assigned. Use the search feature to locate and edit it instead.

Q: Can I delete multiple workflows at once?
A: Yes, use the checkboxes next to each item and click the trash can icon to delete selected workflows in bulk.

Q: What happens if I delete a workflow in use?
A: The field will no longer have logic enforced until a new workflow is created.
