Delete Completed Inspection

Delete Completed Inspection

Purpose Statement

This feature allows authorized users to delete completed fire inspections from the system. Unlike standard inspection deletions which permanently remove records, completed inspection deletions archive the records while maintaining the ability to recover them if needed. This provides administrators with better data management capabilities while preserving important compliance and audit trail information.

Background Information

The Delete Completed Inspection feature addresses the need for post-completion inspection management in fire prevention workflows. This functionality is particularly valuable for correcting data entry errors, removing duplicate inspections, or managing outdated records. The feature maintains data integrity by archiving rather than permanently destroying completed inspection records, ensuring compliance requirements are met while allowing for operational flexibility.

Required Permissions

Fire Inspection - Delete Completed Inspection - This permission enables users to delete completed inspections through an archival process. This is separate from the existing "Fire Inspections - Delete" permission, which handles scheduled and in-progress inspections with permanent deletion.

Step-by-Step Guide

Permission Required: Fire Inspection - Delete Completed Inspection
  1. Bucket: Fire Prevention

1. With the above permission enabled, the user will see the delete action in the Inspections List and My Inspections.
  1. The deletion of completed inspections can only be done individually. The bulk delete will only be used for scheduled and in-progress inspections and doesn’t allow the deletion of completed inspections.

2. The inspection can’t have any associated re-inspection, permit, or invoices to be deleted. If this happens, we’ll show an error message, and they must either delete or unlink the items.

3. If there are no associated items, we’ll show a modal for the user to confirm the deletion and provide a reason why they are doing the action.  Enter the reason for the deletion and then select "Delete."
  1. Once deleted, the inspection is archived and not shown in the list or any reports.

4. Deleted Completed Inspections can be recovered.  Reach out to your Client Success Manager to have them recovered.  Deleted Reinspection's cannot be recovered.

Best Practices

  • Always provide detailed, specific reasons when deleting completed inspections for audit trail purposes
  • Verify that no critical compliance documentation is linked to the inspection before deletion
  • Consider alternative solutions like editing or updating inspection details before choosing deletion
  • Maintain communication with your Client Success Manager regarding recovery needs
  • Use this feature sparingly and only when necessary to maintain data integrity
  • Document your deletion rationale in departmental logs if required by your agency's policies
