Conducting a Remote Video Inspection

Purpose Statement

This feature allows inspectors to conduct fire prevention inspections remotely using video technology when on-site visits are not feasible. Remote video inspections are ideal for basic inspections, re-inspections, follow-up visits, or situations where an inspector cannot physically visit the location due to scheduling conflicts, travel restrictions, or other circumstances.

Remote video inspections leverage modern video conferencing technology to maintain inspection continuity while providing flexibility for both inspectors and property owners. This feature integrates directly with the inspection workflow, allowing seamless transitions between traditional and remote inspection methods. Common use cases include preliminary assessments, documentation reviews, simple compliance verifications, and follow-up inspections where minimal physical interaction is required.


Required Permissions

  1. The following permission must be enabled in order to conduct a video inspection: Admin > Roles > Select a Role > Fire Prevention > Fire Inspection - Video Call.




Step-by-Step Guide

  1. Once you've started an inspection, select the  icon in the upper right section of the page to initiate the video inspection.






  2. You may be prompted by your device to allow the use of your camera and microphone. Select "Allow" (each browser behaves differently; Safari on MacOS shown as an example).





  3. Select your media (camera and microphone) if you have more than one available for each.

  4. Select Join.





  5. You'll then have the following controls appear

    1. Mute
    2. Hangup
    3. Turn off Camera
    4. Change media (camera or mic)





  6. To invite someone to the remote video inspection, you have two options:

    1. OPTION 1: Select the   icon to email an invitation.






    2. The Inspection Contact will receive an email similar to this one:






    3. IMPORTANT: You must have a an "Inspection Contact" selected AND an email entered for that contact since that is who the email is sent to. NOTE: If there is no Inspection Contact selected and/or no email address for the Inspection Contact, the  icon will be disabled (gray).

    4. Be sure to select Save after making updates to contacts.






    5. OPTION 2: Use the  icon to copy a link to join the video inspection.





    6. Paste the link into an email or text message.






  7. One the remote party joins, proceed with your inspection.

  8. Once finished conducting the remote video inspection, simply select  to hang up. Way to go!





  9. Continue documenting the remainder of the inspection.

  • Test your camera and microphone before starting the inspection to avoid technical delays
  • Ensure stable internet connection for optimal video quality
  • Inform the property contact in advance that a video inspection will be conducted
  • Have backup communication methods available (phone number, alternative email)
  • Position your camera to clearly show inspection areas and documentation
  • Speak clearly and confirm the remote party can see and hear you properly
  • Take screenshots or record important visual elements when necessary
  • Follow the same documentation standards as in-person inspections

Q: The email invitation icon is grayed out. What should I do? A: Ensure you have selected an Inspection Contact and that contact has a valid email address entered in the system.

Q: The remote party cannot join the video call. What are common solutions? A: Verify the link was copied completely, check their internet connection, ensure they're using a supported browser, or try sending a new invitation link.

Q: My camera or microphone isn't working properly. A: Check browser permissions, ensure no other applications are using the camera/microphone, try refreshing the page, or select different media devices from the available options.

Q: Can I switch between video and regular inspection during the same appointment? A: Yes, you can hang up the video session and continue with standard inspection documentation at any time.
