What - Service Provider users can now manage their own ITM email notification preferences directly within User Account Settings. Users can choose to receive notifications for submissions they personally submit or opt in to receive notifications for all ITM submissions made by their business. Preferences are fully self-service, include three notification types per scope (Submission Received, Submission Rejected, and System Status Updates including resolved), and use smart delivery logic to prevent duplicate emails while ensuring the right users stay informed.
Why - This feature gives Service Providers greater control over communication, reduces unnecessary emails, and ensures key stakeholders are notified of important submission activity. It supports both individual submitters who only want updates on their own work and managers who need visibility across all company submissions—without creating duplicate or confusing notifications.
How
Navigate to User Account Settings > Notifications
Review the two sections:
For My ITM Submissions (defaults: Received OFF, Rejected ON, Status Updates ON)
For All ITM Submissions from My Business (all defaults OFF)
Toggle preferences for:
Submission Received
Submission Rejected
System Status Updates (including resolved)
Click Save
A confirmation message will appear
Note: If both notification scopes are enabled for the same event on your own submission, only one email is sent to prevent duplicates
Use Case - An ITM technician enables notifications for My ITM Submissions to track when their reports are received, rejected, or when system statuses change. Meanwhile, a company manager opts into All ITM Submissions from My Business to monitor overall activity across the organization. If the manager is also the submitter on a report, they receive only one clear notification—ensuring visibility without redundant emails.
Enhancements
What - Compliance checks are now scheduled at the individual system level rather than per ITM submission. Each system within a submission can generate its own compliance check based on status changes, and reinspection's are tracked as part of a numbered series (Initial, Reinspection 1, etc.). Automated cancellation rules prevent duplicate or outdated scheduled inspections.
Why - This enhancement ensures inspections are accurately tied to the specific system being updated, improving clarity and reducing confusion when multiple systems are included in a single ITM submission. It also ensures inspection records stay accurate if a system’s status changes, a submission is rejected, or a location is updated.

Continue submitting ITMs through the Business Portal as usual
Be aware that:
Each system may generate its own compliance check based on AHJ configuration
Rejected submissions will cancel scheduled compliance checks (unless In Progress or Completed)
Status updates or resubmissions may trigger new compliance checks
If a system’s location changes, scheduled inspections may be canceled and recreated
Monitor inspection activity and status updates through standard ITM notifications and views
Use Case - A Service Provider submits an ITM report covering multiple systems. One system requires follow-up due to its updated status, generating a compliance check specific to that system. If the submission is later rejected and corrected, previously scheduled inspections are automatically adjusted, ensuring only the appropriate inspection remains active and clearly labeled in sequence.
What - AHJs can now correct minor location details (such as business name or address) on new ITM submissions and reassign approved or pending ITMs to the correct existing location when needed.
Why - This reduces unnecessary rejections caused by small address errors or incorrect location selection and helps ensure ITMs, systems, and inspections are aligned to the correct property.

Continue submitting ITMs through the Business Portal as usual
If a minor address or business name error is identified during review, the AHJ may correct it instead of rejecting the submission
If an ITM is associated with the wrong location, the AHJ may reassign it
Be aware that reassignment may result in scheduled inspections being automatically canceled and recreated
Use Case - A Service Provider submits an ITM but accidentally selects the wrong suite address. Instead of rejecting the submission, the AHJ corrects the location during review. In another case, an ITM is approved under the wrong property; the AHJ reassigns it to the correct location, and any related inspections are automatically updated—reducing delays and resubmission work.
