Business Portal - Delete Draft ITM Reports

Purpose Statement

The delete draft ITM reports feature allows service providers to remove incomplete or mistaken ITM (Inspection, Testing, and Maintenance) reports that are still in "Draft" status. This capability helps maintain clean data and improves the user experience by preventing clutter from duplicate or incorrect entries that haven't been finalized.

Background Information

ITM reports are critical compliance documents that service providers must submit to authorities having jurisdiction (AHJ). Previously, once an ITM report was started and saved as a draft, users could not remove it even if it was created in error or duplicated. This led to confusion and cluttered report lists. The delete functionality uses a soft delete approach, meaning deleted reports are retained in the backend for audit purposes while being removed from the user interface.

This feature is only available in the Business Portal (service provider side) and does not affect AHJ functionality. Draft reports must still meet existing validation requirements (having a location and at least one system) before they can be created and subsequently deleted.

Required Permissions

Users must have one of the following roles to access the delete draft ITM reports feature:
  1. ITM Manager - Full Access
  2. ITM User - Submit Reports only

Step-by-Step Guide


1. Log into the Business Portal by clicking on Sign In.

2. Identify Draft Reports for Deletion.

3. Locate the Actions column on the right side of the list.

5. A confirmation modal appears with the message: "Are you sure you want to delete this draft ITM report? This action cannot be undone."

6. Confirm or Cancel Deletion.

To proceed: Click "Delete" to permanently remove the draft report

Best Practices

Do:
  1. Review draft reports carefully before deletion, as the action cannot be undone through the user interface
  2. Delete unnecessary or duplicate draft reports to maintain clean data organization
  3. Ensure you're deleting the correct report by verifying the report details before clicking the trash can icon
  4. Use this feature to clean up mistaken entries created during initial setup
Don't:
  1. Attempt to delete reports with any status other than "Draft" (the option won't be available)
  2. Assume deleted reports are completely removed from the system (they're retained for audit purposes)
  3. Worry about refreshing the page after deletion (deleted reports won't reappear)
Tips:
  1. The deletion process completes within 3 seconds, including UI updates
  2. If multiple users have access to the same draft report, deletion by one user immediately affects all users' views
  3. All associated data (location, systems, attachments) are automatically removed with the report

Troubleshooting & FAQs

Q: I don't see a trash can icon for my draft ITM report. Why?
A: Verify that you have either ITM Manager - Full Access or ITM User - Submit Reports only role permissions. The delete option is only visible to users with these specific roles.

Q: Can I delete ITM reports that are already submitted?
A: No, the delete functionality only applies to reports in "Draft" status. Reports with Submitted, Approved, Rejected, In Review, or any other non-Draft status cannot be deleted.

Q: What happens if I accidentally delete a draft report?
A: The deletion cannot be undone through the user interface. However, the report data is retained in the backend for audit purposes. Contact your system administrator if you need to recover deleted draft information.

Q: The deletion seems to be taking too long. Is this normal?
A: Deletion should complete within 3 seconds. If it takes longer, try refreshing the page or contact technical support.

Q: Will other users still see a draft report I deleted?
A: No, when you delete a draft report, it's immediately removed from all users' list views. Other users will no longer see the deleted report after their next page refresh or data fetch.

Q: Can I delete a draft report that has attachments?
A: Yes, when you delete a draft ITM report, all associated data including location, systems, and attachments are automatically soft deleted along with the report.
