Purpose Statement
Field Update Thresholds allow administrators to configure validation rules for numeric Field Update questions within Asset Checklists. These thresholds help identify unexpected changes in equipment or apparatus values by warning users when an entered value exceeds an acceptable increase.
Thresholds provide an additional layer of data validation while still allowing users to submit accurate values when large increases are legitimate.
Background Information
When creating or editing an Asset Checklist, administrators can configure thresholds for numeric Field Update questions, such as PTO Hours, Engine Hours, Odometer, or other tracked values.
Thresholds can be configured using one of two validation methods:
- Maximum Percentage Increase – Warns users when the new value exceeds a specified percentage increase from the previously recorded value.
- Absolute Delta (Fixed Increase) – Warns users when the new value exceeds a specified fixed numeric increase from the previous value.
Thresholds are configured during checklist setup and apply to both Equipment and Apparatus Field Update questions.
If multiple Field Update questions exist within a checklist, thresholds can be configured individually or for multiple questions at the same time.

Step-by-Step Guide
1. Open Asset Checklist Setup
- Select the First Due logo.
- Navigate to Assets > Setup.
- Select Checklist.
2. Create or Edit a Checklist
- Create a new checklist or open an existing checklist.
- Select the Edit (pencil) icon for the checklist.
3. Locate a Field Update Question
- Find the numeric Field Update question you want to configure.
- Select Configure Thresholds.
Important Note:
Field Update thresholds only apply to Equipment Hours.
4. Select the Field Update Question
- If multiple Field Update questions exist, select the question(s) you want to configure.
- Configure thresholds for each selected question individually, or apply settings to multiple questions as needed.

5. Configure a Threshold Type
Choose one of the available validation methods.
Maximum Percentage Increase
- Enter the maximum allowable percentage increase from the previously recorded value.
- For example, entering 10% will generate a warning if the new value exceeds a 10% increase over the previous value.
Absolute Delta (Fixed Increase)
- Enter the maximum allowable fixed increase.
- For example, entering 100 will generate a warning if the new value increases by more than 100 from the previous value.
6. Save the Checklist
- Select Save to store the threshold configuration.
- Save the checklist.
7. Review the End User Experience
When a user completes the checklist:
- Entering a value that exceeds a configured threshold displays a validation warning indicating the value exceeds the configured threshold.
- If one or more threshold warnings exist, submitting the checklist displays a confirmation message summarizing all threshold warnings.
- Users may review their entries and either correct the values or confirm and submit the checklist if the entered values are accurate.
Warning:
There is currently no notification setting available for Field Update Thresholds. If a user enters a value that exceeds a configured threshold, they will receive a validation warning during checklist completion. However, after reviewing the warning, the user can still select Confirm and Submit to complete the checklist if the entered value is correct. No notifications are sent when a threshold is exceeded.
Best Practices
- Configure thresholds for values that should normally change gradually, such as engine hours, PTO hours, odometer readings, or similar tracked measurements.
- Choose percentage-based thresholds when acceptable increases vary based on the current value.
- Use fixed-value thresholds when there is a known maximum expected increase between inspections.
- Review threshold values periodically to ensure they continue to align with operational expectations.
- Remember that thresholds generate warnings—they do not prevent checklist submission.
Troubleshooting & FAQs
Why didn't the checklist prevent the user from submitting?
Field Update Thresholds generate validation warnings only. Users can still confirm and submit the checklist when the entered value is correct.
What happens if multiple Field Update questions exceed their thresholds?
The user receives a confirmation message listing all threshold warnings before submitting the checklist.
Can I configure thresholds for multiple Field Update questions?
Yes. If your checklist contains multiple Field Update questions, thresholds can be configured for each question individually or for multiple questions during checklist setup.
Can thresholds be configured for both Equipment and Apparatus checklists?
Yes. Field Update Thresholds are available for Field Update questions in both Equipment and Apparatus checklists.
Can notifications be sent when a threshold is exceeded?
Not at this time. Currently, users receive on-screen validation warnings and may confirm submission. Notification capabilities for exceeded thresholds are planned for a future release.
