Purpose Statement
This article explains how ePCR administrators can use Workflow Hide Rules to hide entire Sections or Sub-sections based on conditional logic. This helps reduce visual clutter, streamline documentation, and improve data entry efficiency for clinical users.
Background Information
Workflow Hide Rules previously supported hiding individual fields. This enhancement expands hide rule functionality so administrators can hide:
- Individual fields
- Entire Sections
- Individual Sub-sections within a Section
This is useful when certain portions of the ePCR are not relevant based on incident type, patient condition, agency workflow, or other configured criteria.
Required Permissions
Users must have administrative access to configure ePCR workflows and workflow rules.
Recommended permissions include:
- Access to ePCR configuration
- Access to Workflow setup
- Ability to create and edit Workflow rules
- Ability to manage agency-specific ePCR form configuration

Step-by-Step Guide
1. Navigate to Workflow Configuration
- Go to Admin.
- Select ePCR.
- Open Workflows.
- Choose the workflow you want to edit.
2. Create or Edit a Hide Rule
- Open the workflow rule configuration area.
- Select Add Rule or edit an existing hide rule.
- Choose Hide as the rule type.
Sections and Sub-sections only support the Hide rule type. They cannot be used with Error, Default, or Warning rules.
3. Select the Hide Rule Target
Choose what the hide rule should apply to:
- Field – hides an individual field.
- Section – hides the entire Section, including all Sub-sections and fields.
- Sub-section – hides only the selected Sub-section and its fields.
The rule configuration will indicate whether the selected target is a Field, Section, or Sub-section.
4. Configure Conditional Logic
- Add the condition that determines when the Section or Sub-section should be hidden.
- Use the same conditional logic options available for field-level hide rules.
- Save the rule.
5. Confirm Hide Behavior
When the rule condition is met:
- A hidden Section is removed from the visible ePCR form, including its header, Sub-sections, and fields.
- A hidden Sub-section is removed from the visible form, while the parent Section remains visible if other Sub-sections are still available.
- If all Sub-sections under a Section are hidden, the Section remains visible with a lightweight placeholder message, such as:
No sub-sections available based on current selections
Unhide Functionality
When viewing an ePCR with hidden content, users can select Unhide to temporarily show:
- Hidden Sections
- Hidden Sub-sections
- Hidden fields
This temporarily overrides active Workflow Hide Rules so users can access all form content when needed.
Best Practices
- Use Section-level hide rules when an entire part of the ePCR is not relevant.
- Use Sub-section hide rules when only part of a Section should be hidden.
- Avoid creating multiple field-level hide rules when a Section or Sub-section rule would accomplish the same goal.
- Review workflows carefully to avoid hiding content that may be required for compliance or reporting.
- Test hide rules using realistic incident scenarios before deploying them to field users.
Troubleshooting & FAQs
Why can’t I select Error, Default, or Warning for a Section or Sub-section?
Sections and Sub-sections only support the Hide rule type. Other rule types apply to individual fields only.
What happens if a Section hide rule and Sub-section hide rule conflict?
Section-level hide rules take priority. If the Section is hidden, all Sub-sections and fields within it are hidden.
What happens if every Sub-section in a Section is hidden?
The parent Section remains visible and displays a lightweight placeholder indicating that no Sub-sections are currently available.
Does Unhide permanently disable the rules?
No. Unhide temporarily displays hidden content while viewing the ePCR. The configured Workflow Hide Rules remain active.
