Purpose Statement
The Client Data Sharing feature enables agencies using the First Due platform to securely share selected data modules with partner agencies. This functionality enhances inter-agency collaboration, improves situational awareness, and supports coordinated emergency response efforts.
Background Information
Client Data Sharing allows departments to share specific modules such as pre-plans, hydrants, command boards, and messaging with other First Due partner agencies.
- Partner agencies within the same county are typically auto-populated
- External agencies can be added through your Customer Success or Implementation Manager
- Each module has configurable permission levels to control how data is shared
This feature is primarily used in mutual aid environments where visibility and coordination across jurisdictions are critical.
Warning:
Some of the options available in Client Data Sharing allow the Users of Partner Agencies to make changes to the Data within your First Due system.
If these options are enabled it is strongly recommended for an agreement and/or SOG, SOP or Policy & Procedure to be agreed upon by both Partner Agencies to ensure consistency and avoid any potential errors.
Required Permissions
- Admin-level access within First Due
- Access to the Admin > Client Data Sharing section

- Contact your internal First Due administrator
- Or reach out to your Customer Success/Implementation Manager

Step-by-Step Guide
Access Client Data Sharing
- Navigate to Main Menu, then Select Admin, then Click Client Data Sharing
Important Note:
If you ARE NOT an Admin within your First Due System:
If Client Data Sharing is not visible within the menu, Start by contacting your internal First Due Administrator as this feature is generally relegated to Admins within the First Due System.
If you ARE an Admin within your First Due System:
Please contact your Client Success Manager if you are already live within First Due or if you are still in implementation, contact your implementation manager.
Review Partner Agencies
- View the list of available partner agencies
- Confirm auto-populated agencies (typically within your county)
- Contact support to add additional agencies if needed
Configure Module Sharing Settings
For each partner agency, configure the following modules:
Pre-Plans & Hydrants
- None – No sharing
- View Only – Read-only access for partner agencies
- Can Make Changes – Full edit access by partner agencies
Community Connect, Address, Device Locations
- None – No sharing
- View Only – Read-only access for partner agencies
Command
- None – No sharing
- View Only – Read-only access for partner agencies
- Command Transfer – Allows external users to assume control of command boards
Messaging
- None – No sharing
- Send and Receive – Enables bidirectional messaging between agencies
Save Individual Changes
- Adjust settings for a each specific agency and then click Save
5. Use Bulk Actions
- Select multiple partner agencies
- Use Bulk Actions at the top to apply desired settings
- Click Save
If Pre-Plans is set to View Only or Can Make Changes, the Address module must be changed to View Only as well since Pre-Plans can only be viewed if the Addresses are also viewable by the Partner Agency’s users.
Best Practices
- Establish SOPs/SOGs or agreements before enabling edit permissions
- Limit “Can Make Changes” and “Command Transfer” to trusted agencies
- Regularly audit sharing settings for accuracy
- Use View Only as the default when possible
- Clearly define ownership of shared data

Q: I don’t see Client Data Sharing in the menu
A: You likely lack admin permissions. Contact your internal admin or First Due support.
Q: Why am I getting an error when saving settings?
A: Ensure the Address module is set to View Only when sharing Pre-Plans.
