Custom list views allow users to filter, organize, and display asset-related information to support their specific workflows. By creating custom views, users can quickly access relevant records without manually filtering data or rearranging columns each time they access a list.

Custom list views improve efficiency by allowing teams to tailor how information is displayed across supported lists within the Assets module.

Custom list views are available across multiple areas of the Assets module, including:

While the process for creating a custom list view is the same across supported lists, the available columns and filters vary depending on the list. For example, the Apparatus List includes vehicle-specific fields, while the Work Order List contains maintenance-related fields.

Custom list views allow users to:

• Share views with individuals, roles, ranks, or the entire agency.

Required Permissions

Access to custom list views is permissions-driven.

Users must have permissions that allow them to:

• Access the applicable list within the Assets module.
• Create and manage custom list views.

If these permissions are not available, contact your module manager or system administrator to request access.

Step-by-Step Guide

1. Navigate to the Desired List

• Open the Assets module.
• Navigate to the list where you want to create a custom list view.
• Custom list views are available for the following Assets lists:
  • Asset Lists (Apparatus, Equipment, Location, Kit)
  • Work Order List
  • Inventory Management (Global Restock, Requests, Inventory by Location, Receive/Usage/Restock Logs)
  • Preventative Maintenance
  • Purchase Orders
  • Swap (Compartment Swap, Unit Updates)
  • Status Log
  • System Log
  • Inventory Setup (Inventory List)

2. Manage Current List Views

• Select the view dropdown at the top of the applicable list.
• Choose from the views available to you, which may include:
  • First Due list views:
    • Default View
    • Master View
    • Quick View
  • Custom views you created
  • Views shared with you
  • Favorite views
• Use the available view controls to:
  • Favorite a view to add it to your Favorites.
  • Pin a view so it automatically displays when you access the applicable list.

3. Create a New List View

• Click the ellipsis (•••) next to the view selector.
• Select Add View to create a new list view.
• Alternatively, select Clone to create a new view based on the currently selected view.

4. Name the Custom View

• Enter a name for the view.
• Choose a name that clearly identifies the purpose or intended filters of the view.

5. Select the Columns to Display

• In Available Columns, select the fields you want to display.
• Use the arrow button to move the fields to Selected Columns.
• Reorder selected columns by dragging and dropping them into the desired position.
• Optional: Pin columns to keep them visible when scrolling horizontally.

6. Configure Sorting (Optional)

• Select the column you want to sort by.
• Choose a Sort Order:
  • Ascending
  • Descending

The selected sort settings determine the order in which records appear in the list.

7. Configure Allow Filtering By

• Select the Allow Filtering By field.
• Search for and select the data fields users should be able to filter by when using the list view.
• Add all applicable filters.

8. Add Filter Criteria

• Click Add Criteria.
• Select the Field you want to filter.
• Select the applicable Operator.
• Select the Value, when applicable.
• Add additional criteria as needed.

When multiple criteria are added, use the available AND/OR expression to define how the criteria work together:

• AND – Records must meet all specified criteria.
• OR – Records can meet any of the specified criteria.

The components of each criterion include:

• Field – Determines which data field is evaluated by the criterion.
• Operator – Determines how the selected field is evaluated. Available operators may include:
  • In – Includes records matching the selected value.
  • Not In – Excludes records matching the selected value.
  • Is Null – Includes records where the field is blank.
  • Is Not Null – Includes records where the field is not blank.
• Value – Determines the specific value or values used to evaluate the selected field when required by the operator.

9. Choose Sharing Options

Select who can access the custom view:

• Only Me – Visible only to the creator.
• Everyone in My Agency – Available to all users in the agency.
• Selected Users – Share the view with specific users, roles, or ranks.

When using Selected Users, move the appropriate users, roles, or ranks into the Selected list and click Add.

10. Set Edit Permissions for Shared Views

When sharing a custom view, the following option is available:

11. Set Default Pagination

Select the number of records that should display per page when using the list view.

12. Save the Custom View

• Click Save.
• The new view will appear in the Custom Views section of the view selector.
• Use the view selector to switch between available First Due and custom views.

I don’t see the option to create a custom view.

You may not have the required permissions. Contact your module manager or system administrator to request access.

My column options look different from the training example.

This is expected. Available columns vary depending on the list where the custom view is being created. See the Custom List Data section for list-specific options.

Someone changed my custom view.

If Allow other users to apply changes to this view was enabled, users with access to the shared view may be able to modify its configuration. Disable this option when sharing views that other users should not modify.

I can’t see a custom view someone shared with me.
