This article outlines how Module Managers can manage asset checklists within the First Due system, including cancelling overdue checklists, completing outstanding checks, viewing checklist history, and deleting incomplete or historical records (with proper permissions).
Effective checklist management ensures:
Compliance with department inspection requirements
Accurate asset readiness tracking
Proper documentation for audits and reporting
Prevention of missed or duplicated inspections
Clean and organized checklist history
This process applies to Apparatus, Equipment, Kits, and Locations.
Background Information
Asset checklists are used to document inspections, operational readiness checks, and compliance activities for department assets. When a checklist is not completed within its scheduled timeframe, it becomes Overdue.
Overdue or incomplete checklists can:
Impact compliance reporting
Create gaps in inspection documentation
Cause confusion for field personnel
Affect asset availability tracking
Module Managers have additional capabilities beyond standard users, including:
Viewing checklist history
Generating printable checklist records
Deleting incomplete checklists
Cancelling overdue checklists manually (with proper permissions)
Standard users can typically view checklist history and print records, but cannot delete or cancel checks.
Required Permissions
Permissions may vary by agency configuration. The following are typically required:
To View Checklist History:
Asset Module Access (Apparatus, Equipment, Kits, or Locations)
View Checklist History permission
To Generate Printable Checklist Records:
View Checklist History permission
To Cancel Overdue Checklists:
Cancel Checks permission
To Delete Incomplete or Historical Checklists (Module Managers Only):
Delete Checklist History permission (if enabled)

If a user cannot see cancellation or deletion options, verify their role and assigned permissions in User Management.

Step-by-Step Guide
Managing an Overdue Checklist
From the Assets Dashboard
- Click Assets from the main navigation menu.
- Select the Dashboard
- Use the filters to find the appropriate asset overdue checklist.
- Select Start Check next to that asset.
- Use the Trash Can to cancel an overdue checklist or Start to complete the checklist.
From a Specific Asset Overview
Click Assets from the main navigation menu.
Select the appropriate Asset Overview (Apparatus, Equipment, Kits, or Locations).
Click the Asset Group that contains the asset associated with the overdue checklist.
Locate and click on the specific Asset.
Click the Checklist section.
Locate the Overdue Checks field.
The oldest overdue check will display first.
If multiple overdue checks exist, the next oldest will appear after the previous one is completed or deleted.
Choose one of the following actions:
To Cancel the Check:
Click the X icon.
The Cancel Overdue checks workflow will appear:
Cancel Latest Overdue - cancels the single record
Cancel All Overdue - cancels all overdue checklists in the system for that asset
Warning:
Cancelling overdue checks requires the Cancel Checks permission.
To Begin and Complete the Check:
Click Start Check.
Complete all required checklist items.
Click Submit once the checklist is complete.
Accessing Completed Checklist History
All users with appropriate permissions can view checklist history and generate printable records. Module Managers may also have deletion capabilities.
Click Assets.
Select the appropriate Asset Overview.
Locate and click on the specific Asset.
Click the Expansion Icon to expand the Checklist section.
Click Checklist History.
Use available filters to narrow results by:
Checklist Name
Date Range
Locate the desired checklist record.
View items such as:
Submitting User
Date and time of completion
Time spent on task
Number of checklist questions completed
Choose one of the following options:
View Checklist:
Click the Eye Icon.Print Checklist:
Click the Print Icon to generate a printable PDF version.
While viewing a checklist, click the Expansion Icon next to individual items to see detailed responses.
View items such as:
Specific question results
Field update data information
Work Orders created
Remarks left or images uploaded
Click Back when finished reviewing the checklist.
Tip:
These actions can also be performed by accessing the Asset Type from the Dashboard and selecting Start Check for the associated checklist.
Deleting Incomplete or Historical Checklists (Module Managers Only)
From the Assets Dashboard
Navigate to the Assets Dashboard
Filter the list using the available filters (see images above).
Select Stark Check for the Asset to be managed.
Select History or Incomplete to view checklist results.
Use the Trash icon next to the desired checklist to delete that historical record, or incomplete check.
Confirm delete when prompted.
From a Specific Asset Overview
Click Assets from the main navigation menu.
Select the appropriate Asset Overview (Apparatus, Equipment, Kits, or Locations).
Click the Asset Group that contains the asset to be managed (see images above).
Locate and click on the specific Asset.
Click the Checklist section.

Complete overdue checklists promptly to maintain compliance.
Avoid deleting checklist history unless absolutely necessary.
Use filters in Checklist History to quickly locate records for audits.
Regularly monitor overdue checks to prevent backlog accumulation.
Ensure only authorized Module Managers have deletion permissions.
Train field users to complete checks on time to reduce administrative cleanup.

Why can’t I cancel an overdue checklist?
You likely do not have the Cancel Checks permission. Contact your system administrator.
Why don’t I see the Delete option in Checklist History?
Deletion permissions are typically restricted to Module Managers. Verify your role permissions.
Why is only one overdue checklist visible at a time?
The system displays the oldest overdue checklist first. Once resolved, the next oldest will appear.
Can I recover a deleted checklist?
No. Deleted checklist records are permanently removed and cannot be restored.
Why can’t I find a completed checklist?
Use filters for checklist name and date range to refine your search.
